Onboarding and Compliance Coordinator

The Coordinator, Onboarding and Compliance provides administrative, documentation, and workflow support to the Onboarding and Compliance Advisor team within Human Resources Shared Services. Reporting to the Manager, HR Shared Services, this role helps ensure onboarding, compliance, and employee lifecycle activities progress efficiently by coordinating documentation, monitoring work queues, maintaining records, performing routine follow-up, and supporting service delivery across the team. This position serves as an operational partner to the Advisors by executing standardized processes, maintaining data accuracy, tracking outstanding requirements, and escalating exceptions or risks for Advisor review. The Onboarding Coordinator contributes to a positive employee experience while supporting the efficiency, consistency, and effectiveness of human resources operations.

The compensation for this position will be commensurate with education or work experience.

What You'll Be Doing

• Provides administrative and workflow support to Onboarding and Compliance Advisors across new-hire and internal movement activities.
• Collects, organizes, and maintains required documentation using established checklists and procedures.
• Monitors work queues, deadlines, and outstanding requirements; follows up on routine items and escalates risks or exceptions to the assigned Advisor.
• Maintains accurate system records, trackers, templates, case notes, and standard communications.
• Responds to routine process questions and routes requests requiring policy interpretation, compliance judgment, or exception approval to an Advisor.
• Prepares case information and documentation for Managers review.
• Supports Advisor-led process improvements, audits, data cleanup, training, reporting, and cross-functional follow-up.
• Delivers organized, responsive, and confidential administrative support to candidates, employees, hiring managers, and internal partners
  
  

What You'll Need For Success

• Associates degree and/or 1 year of work experience in a related field.
• 1-3 years of experience in a coordination or administrative role, preferably within a fast-paced corporate environment.
• Intermediate to advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint, Teams, Visio)
• Knowledge of applicant tracking systems (ATS), job boards, background check platforms, and web media.
• Exceptional organizational skills with a keen eye for detail and the ability to manage multiple tasks simultaneously.
• Strong interpersonal and communication skills to effectively interact with candidates, hiring managers, and team members.
• Customer service focused with a high level of confidentiality and diplomacy.
• The role requires mobility within work environments, use of office equipment, lifting up to 20 pounds, clear vision and hearing, effective communication skills, and occasional travel for meetings and training sessions.
