Job Overview
Bacon Wilson, P.C., one of the largest and most prestigious law firms in Western Massachusetts, is seeking candidates for a full time Legal Administrative Assistant for our Westfield office. Candidates should have a minimum of 1 year of experience in a professional office setting. Prior experience in a law firm setting is preferred but not required. The duties of the position include handling telephone calls, scheduling appointments, greeting clients, transcribing/editing documents, managing files, witnessing document signings, and performing other general administrative and clerical tasks. Additional responsibilities will be added over time. Flexibility, proven attention to detail, and a collaborative mindset are essential.
Responsibilities
This position will provide comprehensive administrative support to attorneys and staff within the Firm. Responsibilities may include, but are not limited to:
- Preparing, editing, and proofreading correspondence and legal documents with a high degree of accuracy and attention to detail.
- Opening and maintaining client matters and files for the department.
- Assisting with file organization and document management, both electronic and paper based.
- Handling incoming phone calls and inquiries in a professional and courteous manner.
- Coordinating schedules, meetings, and conference calls as needed.
- Managing time entries, billing information, and related administrative tasks.
- Greet visitors and handle in-person inquiries.
- Providing overflow assistance to other legal administrative assistants to ensure balanced workloads.
- Managing office supplies inventory.
- Maintaining a professional and welcoming atmosphere in public areas such as the lobby and conference room.
Required Skills
- Strong organizational skills and ability to manage multiple priorities in a fast-paced professional setting
- Excellent written and verbal communication skills.
- High attention to detail and accuracy in document handling.
- Strong technical proficiency, including experience with Microsoft Office applications (Word, Outlook, Excel, and PowerPoint).
- Proven ability to maintain confidentiality and exercise discretion.
Preferred Skills
- Prior experience in a law firm or legal environment is a plus but not required.
- Familiarity with legal terminology, billing processes, and document management systems preferred.
- Proficiency in Spanish is a plus but not required.
Pay: $22.00 - $26.00 per hour
Expected hours: 37.5 per week
