BA Global Talent is seeking an on-site Executive Assistant (EA) in New York to support Senior Leaders at the U.S. International Development Finance Corporation (DFC). Responsibilities:
- Organize, prioritize, and manage a high volume of incoming work for DFC Senior Leaders and/or their offices
- Respond to, coordinate, and schedule meeting requests, official appointments, invitations, and participation in special events
- Greet and escort guests at the DFC New York City office and other authorized DFC office locations
- Maintain control and follow-up systems for correspondence and workload to ensure timely responses
- Draft, proofread, and format correspondence, reports, and other documents for Senior Leaders and their offices
- Manage incoming and outgoing communications, including email, phone calls, and mail
- Assist with travel coordination and voucher processing
- Maintain records, databases, and tracking systems for projects, deadlines, and administrative tasks
- Coordinate with internal departments and external stakeholders on administrative projects, data calls, and workplace analysis
- Process internal ethics clearances for speakers participating in events or widely attended gatherings
- Provide continuous EA coverage, including backup support for planned absences longer than three (3) business days and unplanned absences longer than five (5) business days
- Support surge requirements when additional administrative assistance is needed
Qualifications:
- U.S. Citizenship is required
- Active Public Trust clearance required; higher-level clearances (Secret or Top Secret) are acceptable if eligible for transfer
- Bachelor’s degree in Business Administration or a related field is preferred but not required
- Minimum of five (5) years of experience providing administrative support in a federal environment or comparable setting (e.g., state/local government, corporate offices, nonprofit organizations)
- Strong ability to manage multiple tasks, projects, and deadlines simultaneously
- Exceptional verbal and written communication skills, including strong grammar and proofreading abilities
- High level of professionalism, discretion, and attention to detail
- Ability to work independently with minimal supervision in a fast-paced environment
- Bilingual proficiency in English and Spanish or English and Portuguese is preferred but not mandatory
Location: New York, NY. On-site work is required at the DFC New York City office.
