Key Responsibilities
- Manage the CEO’s calendar of events and oversee email correspondence, ensuring timely responses, organization, and prioritization of key communications. Summarize important messages and align with the CEO regularly to review, delegate, and take action where needed.
- Coordinate with the CEO to handle delegated personal appointments on his calendar with precision, safety, and responsibility each time and every time.
- Demonstrate reliability and punctuality; proactively communicate challenges, seek guidance when needed, and follow through with effective problem-solving.
- Provide high-level personal and administrative support, including managing errands such as online purchases, scheduling vehicle maintenance, and coordinating pick-ups and drop-offs.
- Assist with travel arrangements, reservations, event coordination, and other logistics to ensure the business as well as the CEO’s day-to-day operations run smoothly and efficiently.
- Attend meetings alongside the CEO to capture detailed notes and proactively manage follow-up action items to ensure timely execution.
- Conduct independent research to identify the most effective solutions for both personal and business needs. Present well-reasoned recommendations, clearly articulating the rationale behind your choice and how it compares to alternative options.
- Occasionally accompany the CEO on business travel to trade shows, client meetings, and events in locations such as Los Angeles or Las Vegas.
Skills & Qualifications
- Be able to represent the CEO in his absence.
- Professional, dependable, responsible, and punctual.
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar high-level support role
- Exceptional organizational skills with meticulous attention to detail
- Outstanding written and verbal communication skills — in person, over the phone, via email, and text
- Strong problem-solving abilities and the capacity to work independently with minimal supervision
- High level of discretion, professionalism, and ability to handle confidential information
- Proficient in Microsoft Office Suite, Zoom, Trello, AI (ChatGPT, Grok, etc.); tech-savvy and comfortable learning new tools
- Confident conducting web research and presenting well-reasoned recommendations
- Skilled in managing complex calendars, scheduling meetings, and coordinating travel arrangements
- Safe, responsible driver with a valid driver’s license and reliable personal vehicle for errands and local travel; meticulous with vehicle care, parking, and transportation logistics
- Flexibility to travel occasionally with the CEO for trade shows, business meetings, or events (e.g., LA, Vegas)
- Comfortable running both professional and personal errands and handling logistics end-to-end
- Able to thrive in a high-energy, fast-paced, entrepreneurial environment
- Strong interest in business and entrepreneurship is a plus — ideal for someone eager to learn and grow as an integral part of the team
