Position Overview
Our growing estate planning and probate law firm is seeking a highly organized, dependable, and proactive Office Manager / Legal Assistant to oversee the day-to-day operations of the office. This role is essential to keeping the firm running smoothly and ensuring clients receive exceptional service from start to finish.
The ideal candidate is someone who can manage multiple responsibilities at once, communicate professionally with clients, and handle both administrative and legal support tasks with attention to detail, confidentiality, and compassion.
Responsibilities
Client Communication & Intake
- Answer and manage incoming phone calls professionally
- Schedule and coordinate client consultations and appointments
- Greet and assist clients in-office
- Conduct client intake and onboarding
- Maintain client files and communication records
- Provide compassionate and professional customer service
Calendar & Office Management
- Manage attorney calendars, deadlines, and scheduling
- Keep attorneys organized and on track with tasks and appointments
- Coordinate meetings and follow-ups
- Oversee daily office operations and workflow
- Maintain organized physical and digital filing systems
Estate Planning & Probate Support
- Prepare, print, assemble, and organize estate planning documents
- Assist with probate administration and case management
- Track probate deadlines and required filings
- Coordinate document execution and signing appointments
- Assist with document preparation and client correspondence
Administrative & Financial Duties
- Process client payments and maintain payment records
- Manage office supplies and vendor coordination
- Scan, copy, notarize, and organize legal documents
- Ensure all files and records are accurate and complete
Notary Services
- Notarize estate planning and probate documents
Qualifications
- Previous office management, legal assistant, or administrative experience preferred
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Ability to manage confidential information professionally
- Detail-oriented and dependable
- Comfortable working in a fast-paced environment
- Notary Public certification preferred (or willingness to obtain)
