Job Summary:
We are seeking a dynamic and organized individual to join our financial services company as an Administrative Assistant. The successful candidate will play a crucial role in supporting the smooth operation of our office by handling various administrative tasks and customer interactions. This will be a Part-time hourly job with around 10-15 hours per week and must be willing to work some night time seminars and will be a 1099 employee.
Responsibilities:
Seminar and Meeting Support:
Create seminar folders for company events.
Prepare discovery meeting folders with necessary materials.
Contact customers directly to gather required details for seminars and meetings.
Conduct customer calls and follow-up calls to obtain additional information.
May be asked to assist in evening seminars held once or twice a week from 5:30-7:30PM during peak seasons of the year.
CRM Management:
Input customer information into the company CRM system.
Maintain accurate and up-to-date customer records.
Post-Event Procedures:
Post seminar evaluation form calls.
Update post-discovery meeting details, including activities in CRM, sending thank-you emails, selecting packages, sending invoices, and welcome emails.
Customer Interaction:
Handle RSVP calls and manage customer communications.
Respond to Square messages from clients promptly.
Documentation and Organization:
File customer folders systematically for easy retrieval.
Keep electronic and physical records organized.
Seminar Bookings:
Coordinate and book locations for company seminars.
Qualifications:
- Proven experience in office management or administrative support roles.
- Proficiency in using CRM systems and office software.
- Ability to handle customer interactions with professionalism and courtesy.
Additional Skills (Preferred):
- Two - Five years of relevant work experience.
- Strong communication skills, both written and verbal.
- Excellent organizational and multitasking abilities.
- Familiarity with financial services terminology and processes.
- Experience using GoHighLevel or similar CRM platforms.
- QuickBooks/Bookkeeping experience a huge plus.
