About the role
The role requires providing support to our managers and employees, assisting in daily office needs, and managing our company/division’s general administrative activities. The ideal candidate should have excellent oral and written communication skills and organize their work using MS Office and office equipment. Administrative Support responsibilities include making travel and meeting arrangements, preparing reports, and maintaining appropriate filing systems., successful Administrative Support should ensure the efficient and smooth day-to-day operation of our office.
- Fulltime, typically 7:00 AM to 4:00 PM or 8:00 AM to 5:00 PM
- Some overtime may be required – Paid 1.5 times hourly rate

Responsibilities
- Answer and direct phone calls
- Organize and schedule appointments, plan and facilitate meetings
- Write and distribute email, correspondence memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports utilizing external systems of customers
- Develop and maintain a filing system
- Maintain employee time records through electronic timekeeping software
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Provide general support to visitors
- Act as the point of contact for employees seeking assistance with internal direction
- Interface with customers and suppliers
- Provide paperwork for any shipments that are going out by truck line or UPS
- Receive UPS Shipments
- Start Job Folders with necessary paperwork such as quotes, purchase orders from customers, CWR, or Write Up.
- Enter Sales orders if needed
- Enter purchase orders into system and ordering necessary parts or rental equipment requested from Management.
- Approve any invoices with discrepancies and send them to Accounts Payable Dept.
- Assist in other functional areas as needed.
Candidate requirements
- High School diploma
- Minimum of 2 years proven experience as an Administrative Support, Virtual Support or Office Administrative Support
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and scanners
- Proficiency in MS Office Suite (MS Excel and MS PowerPoint)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Successful candidates must submit to post offer pre-employment physical examination, drug screen
