We are seeking a dynamic and highly organized Secretary to join our team! In this vital role, you will serve as the backbone of our office operations, providing exceptional administrative support to ensure smooth daily functions. The ideal candidate is proactive, tech-savvy, and possesses excellent multitasking abilities to handle a variety of clerical and customer service responsibilities with enthusiasm.

Duties

  • Manage multi-line phone systems, answer inquiries promptly, and direct calls professionally using proper phone etiquette.
  • Maintain accurate records through data entry, filing, and proofreading documents to ensure information integrity.
  • Handle calendar management and scheduling for executives or team members, coordinating appointments and meetings efficiently.
  • Provide exceptional customer support at the front desk by greeting visitors, managing inquiries, and ensuring a welcoming environment.
  • Oversee office management tasks such as supply inventory, equipment maintenance, and organization of office spaces.
  • Utilize productivity software including Microsoft Office Suite and Google Workspace for document creation, email correspondence, and collaboration.
  • Support bookkeeping activities using QuickBooks or similar accounting tools, including invoicing and expense tracking.

Skills

  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and general office management software.
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Demonstrated clerical experience with data entry, filing systems, proofreading, and document management.
  • Exceptional customer service skills with a professional demeanor and strong phone etiquette.
  • Bilingual abilities are a plus to assist diverse clients or team members effectively.
  • Technical proficiency in using multi-line phone systems, office equipment, and basic bookkeeping tools like QuickBooks.
  • Previous experience as a receptionist or personal assistant is highly desirable; familiarity with medical or dental receptionist duties is a bonus.
