Office Administrative Assistant – Emergency Shelter
Location: Nassau County, Long Island, NY

Job Summary
B&B; House is seeking a highly organized and experienced Office Administrative Assistant to support
the daily operations of a busy emergency shelter located in Nassau County, Long Island. This role
requires prior experience working in a shelter, emergency housing, or human services environment and
strong skills in Excel, Word, reporting, and tracking shelter operations.
Responsibilities
- Maintain and manage daily shelter reports and logs
- Track resident intake, discharge, and occupancy reports
- Maintain inventory tracking for shelter essentials including food, hygiene items, linens, and supplies
- Monitor and track bed availability and shelter capacity
- Prepare weekly and monthly shelter reports
- Assist with client intake documentation and filing
- Maintain accurate and confidential resident records
- Track incident reports and service documentation
- Coordinate office operations and administrative tasks
- Manage shelter supply ordering and inventory spreadsheets
- Assist with compliance reporting and documentation
- Maintain staff schedules and administrative calendars
- Support communication between case managers, shelter staff, and leadership
- Ensure compliance with agency policies and shelter regulations
- Assist with emergency response administrative coordination
Qualifications
- Prior experience working in Emergency Shelter, Homeless Shelter, Domestic Violence Shelter,
Transitional Housing, or Social Services
- Strong proficiency in Microsoft Excel (Required)
- Strong proficiency in Microsoft Word (Required)
- Experience with shelter reporting requirements
- Resident tracking systems experience
- Inventory tracking experience
- Intake and discharge documentation experience
- Incident report tracking
- Compliance documentation experience
Schedule
- Morning Shifts Available
- 6:00 AM – 3:00 PM
- 7:00 AM – 4:00 PM
- 8:00 AM – 5:00 PM
- Monday–Friday (Flexibility may be required)
