In this role, you will be responsible for developing, maintaining, and optimizing schedules for both clients and staff to ensure consistent, high-quality service delivery.
You’ll serve as a key point of contact for families, clinical staff, and leadership—helping balance staffing needs, resolve scheduling challenges, and support smooth day-to-day operations.
Key Responsibilities
Scheduling & Coordination
- Create, maintain, and adjust client and staff schedules to ensure full coverage of therapy sessions
- Match Behavior Technicians (BTs)/Registered Behavior Technicians (RBTs) with clients based on availability, location, and skillset
- Proactively address scheduling conflicts, cancellations, and last-minute changes
- Communicate schedule updates clearly and promptly to staff and families
- Partner with clinical leadership to maintain appropriate staffing ratios
- Serve as the primary point of contact for scheduling-related questions
- Provide clear, professional communication regarding changes and expectations
- Build and maintain strong relationships with families to support continuity of care
- Monitor employee attendance, punctuality, and adherence to schedules
- Track trends in attendance and identify patterns of concern
- Enforce attendance policies consistently and escalate issues when needed
- Collaborate with HR and leadership on follow-up actions
- Review and approve or deny PTO and sick time requests based on staffing needs
- Ensure adequate coverage for all approved absences
- Maintain accurate records of time-off and schedule adjustments
- Communicate staffing gaps and coverage needs to clinical teams and leadership
- Assist with onboarding schedules and initial caseload assignments for new hires
- Contribute to process improvements that enhance scheduling efficiency
- Utilize scheduling and HR systems (e.g., CentralReach, Rippling) to maintain accurate records
- Generate reports on attendance, staffing trends, and scheduling performance
- Ensure all data is current and compliant with company standards
Required
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
- 1–3 years of scheduling, administrative, or operations experience (healthcare or ABA preferred)
- Strong organizational and multitasking skills in a fast-paced environment
- Excellent communication and interpersonal skills
- Ability to problem-solve quickly and manage competing priorities
- Experience in ABA or healthcare scheduling
- Familiarity with platforms such as CentralReach
- Knowledge of attendance policies and workforce management practices
- Attention to detail and accuracy
- Strong time management and prioritization
- Effective problem-solving and conflict resolution
- Professional communication with both families and staff

Salary : $45,000 - $55,000
