Summary of Function:
The Payroll Coordinator is responsible for coordinating and supporting the accurate and timely processing of payroll for all employee groups across the institution. This position requires strong attention to detail and the ability to manage multiple priorities and deadlines while maintaining a high level of accuracy and confidentiality. The Payroll Coordinator plays a critical role in maintaining employee payroll records, verifying compensation data, and ensuring compliance with federal, state, and institutional regulations. The role collaborates closely with other departments and departmental staff to facilitate payroll-related processes, analyze and process instructional load data, administer garnishments and unemployment claims, and prepare payroll reports. The Payroll Coordinator also provides training and support to campus personnel on payroll procedures, timekeeping systems, and compensation processes, while delivering effective service and contributing to successful operational outcomes.
Typical Duties:
Serves Students. Performs and supports the end-to-end payroll process for all employee types, ensuring accurate and timely bi-weekly processing of both regular and irregular payrolls. This includes excellent attention to detail, reviewing and verifying timecards, checking and rechecking documents to ensure calculations of earnings, overtime, and deductions, and ensuring compliance with institutional policies and applicable federal, state, and local regulations. Coordinates adjustments such as manual checks, corrections, retroactive payments, and off-cycle payrolls as needed. Makes recommendations to payroll processes for continuous process improvements.
Maintains and audits employee payroll records within the designated system by accurately entering and updating information related to new hires, terminations, stipends, substitutes, proctors, and other employment actions. Processes and verifies direct deposit forms, tax forms (W-4, A-4), and other mandatory documentation. Ensures proper handling of voluntary and involuntary deductions, including garnishments and withholding orders, and responds to court and agency inquiries in a timely manner.
Collaborates with HR and Business Services teams to prepare and submit payroll reports, reconcile discrepancies, and support the development of quarterly reports, tax filings, and year-end documents such as W-2s. Assists with system testing and enhancements related to payroll processing and system functionality.
Coordinates and supports faculty compensation processes, including the analysis and processing of load sheets and overload assignments. Works closely with administrative support personnel to ensure accuracy and consistency of instructional pay and provides training on updated load processing practices and procedures.
Administers unemployment insurance processes, including managing claims, completing wage audits, and analyzing related billing. Ensures timely and accurate response to state agency requests and maintains compliance with unemployment regulations and internal procedures.
Provides responsive, professional support to employees and departments by addressing payroll-related inquiries, clarifying procedures, and delivering guidance on timekeeping and compensation matters. Maintains confidentiality of sensitive information and upholds a high level of customer service, ensuring transparency and trust across the institution.
Engages in special projects as directed by the Vice President and Chief Human Resources Officer, Director of Human Resources, or designee. Acts as lead in payroll matters in the absence of the Director of Human Resources.
Support and participate in strategic planning initiatives and performs other duties as assigned.
