We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily activities. Responsibilities

  • Greet visitors and clients warmly, creating a positive first impression for everyone entering the office or facility
  • Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel with courteous phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and packages, ensuring timely distribution
  • Maintain organized filing systems, data entry records, and manage appointment calendars using tools like Google Workspace and Microsoft Office
  • Support office management tasks such as ordering supplies, managing inventory, and overseeing general administrative duties
  • Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and invoices
  • Provide customer support by addressing inquiries promptly and professionally, ensuring high levels of satisfaction

Requirements

  • Proven office experience with strong clerical skills including filing, proofreading, and data entry
  • Proficiency in computer literacy with knowledge of Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask effectively in a busy environment
  • Strong typing skills and familiarity with office management software such as QuickBooks or similar programs
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Previous experience as a medical or dental receptionist is a plus; experience in personal assistance or administrative support is beneficial
  • Exceptional customer service skills combined with professional phone etiquette and time management capabilities
  • Ability to handle sensitive information discreetly while maintaining accuracy in record-keeping
