Job DescriptionWe are looking for a Bilingual Receptionist in a fast paced, bilingual, professional office. The ideal candidate will be great at customer service. Proficient in Spanish and English required; 85% of the work will be in Spanish. Responsibilities· Greeting clients when they enter the lobby, helping if you can, or connect them with the team members that can.· Answer incoming phone calls in a timely manner with the utmost professionalism.· Taking messages and scheduling appointments· Calling clients, request missing documents, relaying messages to clients· Maintaining a clean office, filling copy machines with paper, replacing paper towels and napkins in the break room.· Take accurate messages when necessary and transmit them electronically to clients.· Function as an effective team member with colleagues to accurately serve the needs of our clients.· General office administration. Other duties as assigned. Detailed Job Responsibilities1) Greeting Clients:· Greet clients with a smile when they walk in. Greet clients by name once you become familiar.· If there is an appointment scheduled, ask them “Good afternoon, Are you here for the 4pm appointment?” Ask them to have a seat.· If no appointment is scheduled, say “Good Afternoon, how may we help you?” Then direct them to the team member that can help.· If they are picking up documents:- For payroll, make sure it is a known contact that is picking up the documents. If the contact is unknown, please call the main contact to verify who is picking up the checks before handing them over. Always make sure that the envelopes are sealed before handing over the payroll to clients.- For Income Tax returns, find their file, and have them review their taxes and sign the forms. Collect payment from clients. Place the file in the correct cabinet. 2) Phone Responsibilities:· Always carry the cordless phone with you around the office in case a call comes in.· Please answer all calls as much as possible.· Avoid making clients wait on hold; take a message and we will call them back.- (Name, Phone number, what the call is in regards to)· Schedule appointments, reschedule appointments.· Direct the call to the team member that can help. 3) Computer Responsibilities:· Review all new emails periodically throughout the day.· Save all incoming files to the appropriate digital client folder on the server. This includes documents received on the company cell phone.· Print out the required documents and hand them to the appropriate team member. With training, we will demonstrate which files need to be printed.· Sending documents for signature through email or Docusign. 4) Maintaining a clean and professional office:· Make sure the lobby is always clean to maintain a professional work environment for the clients.- Inspect the front lobby twice a day, once before we open at 10am and again at 2pm- Make sure the chairs are straight- Vacuum the floor in the front lobby if there is debris on the floor· Please focus on areas that clients can see, including the hallway and Gloria’s office- Check that all business card holders are aligned straight and that all cards are facing forward. Same with name plates. * Schedule is Monday - Friday, 9:30am-6pm Full timeCompensation $20-23/hr. Employees are expected to follow the company dress and grooming policies, including natural hair colors and covering visible tattoos while on duty.Due to the sensitive financial information inherent to this position, a background check may be performed.
