JOB TITLE: Accounts Payable Coordinator
CONTRACT DURATION: 13 Weeks
LOCATION: Valencia, CA 91355
SHIFT: Monday - Friday (8 AM – 5:00 PM)
ONBOARDING TIME: Expect 2-3 Between Offer to Start Date
Job Description and Requirements:
The Accounts Payable Coordinator is responsible for processing invoices, matching purchase orders and packing slips, verifying approvals, and entering financial data into the AP system. This role supports accurate and timely payment processing, maintains vendor records, and assists with month‑end and year‑end close activities. The position requires strong attention to detail, accuracy, and the ability to work efficiently in a fast‑paced environment.
Key Responsibilities:
· Receive, review, and verify invoices and requisitions for goods and services
· Ensure all transactions comply with financial policies, procedures, and required approvals
· Enter invoices into the Accounts Payable module and balance daily backup reports
· Manage weekly check runs, prepare manual checks, and coordinate mailing of vendor payments
· Maintain accurate vendor files, account numbers, and documentation
· Verify new vendors through OIG and EPLS checks and obtain required approvals
· Work with managers and directors to resolve invoice discrepancies and secure approvals
· Prepare and distribute monthly AP distribution reports
· Support month‑end and year‑end close, including identifying accruals and clearing stale AP‑MM entries
· Maintain organized filing of check copies and supporting documentation
· Assist the General Ledger team with bookkeeping and other assigned duties
· Help maximize cash flow by leveraging vendor discounts and managing payment timing
Job Requirements:
· Associate’s degree in Accounting, Business, or related field (or equivalent coursework)
· Experience working in a high‑volume, fast‑paced AP environment
· Strong knowledge of accounts payable processes and financial controls
· High accuracy in data entry and 10‑key proficiency
· Strong analytical, problem‑solving, and organizational skills
· Proficiency with accounting systems, spreadsheets, word processing, and email
· Ability to maintain confidentiality of financial and employee information
· Excellent communication and interpersonal skills
Requirements (due at time of phone screen with recruiter):
- Resume with last seven years of work history if applicable - all work history gaps of 90 days must be explained.
