We are seeking a detail-oriented and organized Construction Accounting Assistant to support our accounting and project management teams. The ideal candidate will have experience in construction accounting, including preparing and processing AIA billing requisitions, monitoring project costs, and assisting with accounts payable and accounts receivable functions. This position requires strong organizational skills, accuracy, and the ability to manage multiple projects in a fast-paced environment.
Key Responsibilities
- Prepare, review, and process AIA G702/G703 payment applications (AIA requisitions) for owners and general contractors.
- Track and maintain project billing schedules, lien waivers, retainage, and change orders.
- Assist with monthly project billings and ensure timely submission of payment applications.
- Process accounts payable invoices and verify coding to the appropriate jobs and cost codes.
- Generate customer invoices and follow up on outstanding accounts receivable balances.
- Reconcile vendor statements and resolve billing discrepancies.
- Assist with job cost tracking and project financial reporting.
- Maintain accurate project accounting records and documentation.
- Support month-end and year-end closing procedures.
- Coordinate with project managers to obtain required billing documentation.
- Maintain confidentiality of financial information.
Qualifications
Required
- Minimum of 2–5 years of construction accounting experience.
- Hands-on experience preparing and processing AIA requisitions (G702/G703) is required.
- Working knowledge of construction contracts, progress billing, retainage, and change orders.
- Experience with accounts payable, accounts receivable, and job costing.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Strong mathematical aptitude and attention to detail.
- Excellent organizational, communication, and time management skills.
- Ability to prioritize multiple deadlines and work independently.
Preferred
- Experience with QuickBooks Online.
- Understanding of lien waiver documentation and subcontractor compliance.
- Associate's degree in Accounting, Finance, Business Administration, or related field.
