Billing Specialist

Overview
The basic function of the Billing Specialist is to ensure the functions below are performed in an effective manner.

• Order entry
• Invoicing
• Filing
• General admin duties
• Projects as required by the Director of Finance & Accounting
• Perform other duties as assigned

Responsibilities – Include, but not limited to:

Perform the following duties associated with Order Entry and Invoicing:

• Enters orders into the accounting system.
• Update client information on all orders.
• Ensure purchase orders are received before billing.
• Invoice orders as they ship or are inventoried.
• Record all invoicing on daily record log.
• Check shipping log to make sure all billing is complete.
• Invoice on third party portals.
• Discrepancy resolution.
• Keep all logs and files up-to-date daily.
• Maintain all necessary filing in the shared directories, easily accessible by all.

Perform the following administrative duties and tasks:

• Accurately file all paperwork.
• Ensure file room is organized and monthly log is kept up to date.
• Box, log & coordinate the transport of batch records to storage facility.
• Monitor the front desk and greet clients as they enter the building.
• Ensure visitors sign in.
• Answer telephones and direct calls accordingly.
• Open mail and distribute it to the appropriate person.

Additional duties and tasks:

• Cross-train and support the Accounting Department staff as needed.
• Projects as needed and as directed by the Director of Finance & Accounting.

Position Requirements:

• Previous experience in order entry/billing 2-3 years
• Experience with Excel and general knowledge of ERP systems and flow of information.
• Ability to meet deadline and shuffle priorities when needed.
• Accuracy with numbers and information.
• Experience working in manufacturing environment a plus.
• Must be able to lift 20 pounds
