ORGANIZATION SUMMARY:
AWC is a nonprofit health center that provides pregnancy and sexual health services and licensed professional counseling to those in need. We equip women and men facing unplanned or crisis pregnancies by offering free pregnancy testing, ultrasounds, and pregnancy options counseling. STI testing and professional counseling are also provided free of charge. AWC provides services to empower our clients through medical education, mentorship, and spiritual support by volunteer client advocates and licensed medical and behavioral health professionals.
JOB SUMMARY:
AWC’s Office Manager is responsible for promoting a positive impression of AWC Centers by assisting those making contact via phone or in person. In addition, this position supports the smooth functioning of the agency by assisting with office operations and administrative/clerical tasks. This position may have additional administrative responsibilities to assist the director team.
REQUIRED QUALIFICATIONS:
· Highschool Diploma
· Strong commitment to excellent customer service
· Strong verbal and written communication skills
· Proficiency in the Microsoft suite
· Agreement with and willingness to uphold AWC policies and procedures
· Commitment to AWC’s Statement of Faith & Core Values, mission, and vision
· Strong Christian faith demonstrated through a growing relationship with Jesus Christ
· Ability to establish and maintain productive working relationships with team members
· Ability to complete new hire training and willingness to pursue ongoing training as needed
PREFERRED QUALIFICATIONS:
· Experience in a pregnancy center or OB/GYN setting
· Experience with scheduling and medical records management
· Experience with supervising volunteers in a nonprofit
JOB RESPONSIBILITIES:
Client Services:
· Answer the phones (call and text) and schedule client appointments
· Update Ekyros schedule as needed
· Serve as client advocate when needed
· Maintain an updated community resource and referral list for the agency
· Manage record keeping and data entry, including chart checks and closing cases
· Manage client paperwork, including intake and consent forms and client exit surveys
· Create and print in-center documents for client distribution
· Oversee center operations to maintain the highest standard of client advocacy and care
Volunteers:
· Supervise and train administrative volunteers.
· Maintain an accurate and updated volunteer database and email distribution list.
· Communicate events, updates, trainings, and office closures to the volunteers.
· Distribute weekly prayer requests
Operations:
· Perform or assign opening and closing duties for the center.
· Oversee facility cleaning, maintenance, and overall operations.
· Order and stock educational materials and bathroom/kitchen/office supplies.
· Manage AWC general email inbox
Development:
· Assist Executive Director with task related to donor development and fundraising as assigned and availability allows.
Continuing Education:
· Maintain CPR certification as offered by AWC
Other Responsibilities:
· Lead group prayer meetings
· Attend staff meetings
· Participate in occasional fundraising events, volunteer recruitment activities, and outreach
PHYSICAL REQUIREMENTS:
· Ability to frequently use a computer and telephone.
· Ability to physically navigate both in and out of the office.
· Ability to sit, stand, walk, climb, kneel, and stoop for an extended time.
· Ability to perform moderate lifting such as moving equipment and assisting clients.
