Medical Receptionist

Perform receptionist duties using specific knowledge of medical terminology and hospital, clinic, or laboratory procedures. Duties may include scheduling appointments, coding visits, billing patients, and compiling and recording medical charts, reports, and correspondence.

Basic Skills

· Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems pertaining to triaging patient inquiries in person and on the phone, collecting co-pays, verifying insurances, and collecting patient balances.

· Graphics - Working with pictures in graphics programs or other applications, including creating simple graphics, manipulating the appearance, and inserting graphics into other programs.

· Internet - Using a computer application to create, manipulate, edit, and show virtual slide presentations.

· Navigation - Using scroll bars, a mouse, and dialog boxes to work within the computer's operating system. Being able to access and switch between applications and files of interest.

· Presentations - Navigating the Internet to find information, including the ability to open and configure standard browsers; use searches, hypertext references, and transfer protocols; and send and retrieve electronic mail (e-mail).

· Spreadsheets - Using a computer application to enter, manipulate, and format text and numerical data; insert, delete, and manipulate cells, rows, and columns; and create and save worksheets, charts, and graphs.

· Word Processing - Using a computer application to type text, insert pictures, format, edit, print, save, and retrieve word processing documents

Tasks

· Answer telephones and direct calls to appropriate staff / handle the patient query.

· Schedule and confirm patient diagnostic appointments, surgeries, or medical consultations.

· Operate office equipment, such as voice mail messaging systems, and use word processing, spreadsheet, or other software applications to prepare reports, invoices, financial statements, letters, case histories, or medical records.

· Maintain medical records, technical library, or correspondence files.

· Greet visitors, ascertain purpose of visit, and direct them to appropriate staff.

· Compile and record medical charts, reports, or correspondence, using computer.

· Receive and route messages or documents, such as laboratory results, to appropriate staff.

· Transmit correspondence or medical records by mail, e-mail, or fax.

· Interview patients to complete documents, case histories, or forms, such as intake or insurance forms.

· Schedule tests or procedures for patients, such as lab work or x-rays, based on physician orders.

· Complete insurance or other claim forms.

· Transcribe recorded messages or practitioners' diagnoses or recommendations into patients' medical records.

· Arrange hospital admissions for patients if needed

· Facilitating a positive patient experience in person and on the phone.

· Checking patients in

· Checking eligibility

· Verify patient information (driver’s license, insurance cards) at check in

· Collect Copays

· Checking authorizations or requesting authorizations for in office visits and ultrasounds (one week in advance minimum)

· Requesting authorizations from the patients Primary Care Physician if needed.

· Referral scheduling

· Handling incoming fax information

· Checking charts to make sure they are prepared (reports, op notes, ultrasounds, etc.)

· Ensure patients have signed appropriate HIPAA and consent forms

· Scanning / Faxing pertinent information

· Effective Delegation of information gathered from phone calls.

· Maintaining the waiting room

· Rolling the phones over at the end of the day / rolling the phones back at beginning of day (if needed for early releases).
