Position Summary
We are looking for a detailed-obsessed Warehouse Coordinator that also has a strong desire in audio to support the daily rhythm of our warehouse. In this role, you act as the bridge between the inventory software (Flex Rental Solutions) and the physical gear on the floor. You will execute precise show pulls, conduct rigorous QC (Quality Control), and ensure that every piece of equipment leaving our dock is show-ready.
You are the gatekeeper of accuracy: ensuring the right gear gets on the right truck, every time.
Key Responsibilities
Inventory Control & Flex Rental Solutions
- Daily Flex Management: accurately scan equipment in and out of the warehouse; ensure all asset tracking is real-time and error-free.
- Shortage Management: Proactively identify equipment shortages on upcoming pick lists and communicate immediately with the Operations Manager.
- Asset Integrity: Ensure all gear is properly barcoded, labeled, and documented within the system.
Show Pulling, Staging & QC
- Execute Pulls: Physically pull and stage equipment for audio, video, lighting, scenic, and networking orders based on Flex pick lists.
- Rigorous QC: Perform bench tests, firmware checks, and visual inspections on returning gear. If it’s broken, you tag it, log it, and start the repair ticket.
- Packing Standards: Uphold AVS packing standards—neat cabling, logical case packing, and safe stacking for transport.
Logistics & Subrentals
- Traffic Control: Coordinate with local couriers and freight carriers for pickups and deliveries. Ensure all shipping paperwork (BOLs, manifests) is accurate.
- Subrental Coordination: Receive sub-rented gear from vendors, verify the count/condition against the PO, and ensure it is returned on time to avoid extra fees.
Warehouse Environment
- Safety First: Maintain clean aisles, secure racking, and a safe working environment compliant with OSHA and AVS standards.
- Team Collaboration: Participate in daily huddles; support the techs and the Manager with a "can-do" attitude.
What Success Looks Like
- Zero "Day-of" Surprises: The gear that arrives at the show site is exactly what was ordered, tested, and working.
- Data Accuracy: The physical inventory on the shelves matches what Flex says is on the shelves.
- Efficiency: Trucks are loaded and unloaded swiftly so our technicians can get to work or get home.
Qualifications & Requirements
- Experience: 2 years in live event audiovisual operations or warehouse logistics.
- Technical Knowledge: Familiarity with professional AV equipment (Audio, Video, Lighting, Rigging) is highly preferred. You should know the difference between an SDI and an XLR cable.
- Software Skills: Experience with Flex Rental Solutions (or similar inventory software like R2) is a massive plus.
- Physical: Ability to lift/move 50 lbs regularly; comfortable being on your feet and moving quickly.
