Full-Time | Monday–Friday | Carmel, IN Satellite Locations

Position Overview:

You'll play a key role in helping preserve and protect patients’ vision often working with individuals dealing with serious or sight-threatening conditions. Your work will truly make a difference.

As a Front Office Associate, you will:

Patient Interaction and Appointment Management

  • Greet patients and visitors in a professional and courteous manner.
  • Answer incoming phone calls and appropriately triage calls to physicians or staff.
  • Check in new and established patients, ensuring accurate demographic and insurance information.
  • Obtain necessary authorizations and referrals when required.
  • Scan insurance cards, patient documentation, and identification into the EHR system.
  • Take patient photographs and upload them to the electronic medical record.
  • Schedule new patient visits, follow-up appointments, imaging, and procedures as directed.
  • Manage appointment changes due to physician schedule adjustments.
  • Confirm appointments and verify patients are scheduled with the correct provider.
  • Pre-register new patients, verify insurance eligibility, and explain visit expectations.
  • Send follow-up letters to patients who miss appointments to encourage rescheduling.

Insurance and Billing Support

  • Verify insurance coverage for new and established patients and update records accordingly.
  • Assist patients in understanding financial responsibilities including copays and deductibles.
  • Explain and enroll eligible patients in copay assistance programs when available.
  • Ensure appropriate Advance Beneficiary Notices (ABNs) and waivers are completed when required.

Medical Records and Documentation

  • Process and fulfill requests for medical records in accordance with privacy policies.
  • Copy, scan, and upload documentation into the EHR system accurately and promptly.
  • Fax correspondence and visit summaries to referring physicians following patient visits.
  • Maintain accurate patient contact information and update records for returned mail.

Administrative Duties

  • Assemble new patient packets as needed.
  • Sort and distribute incoming mail daily.
  • Assist with referrals to outside physicians or specialists when requested.
  • Verify skilled nursing facility status for applicable patients.
  • Support front office team members as needed to maintain efficient clinic operations.

Schedule:

  • Monday–Friday, starting at 7:30 AM
  • Typical end time around 4:00 PM- 5:00 PM (overtime may occur for end of day patients)

Locations:

  • Main Office: Carmel, IN
  • Satellite Offices: Bloomington, Greenfield, Muncie, and Avon, IN (we strive to schedule you as close to home as possible but ask that you are able to fill in to satellite offices if necessary)

Physical demands of this position:

  • Ability to sit or stand for extended periods throughout the workday.
  • Frequent use of computers, keyboards, telephones, scanners, and other office equipment.
  • Repetitive hand and finger movements for typing and data entry.
  • Ability to read computer screens, insurance documents, and patient records with attention to detail.
  • Ability to communicate clearly in person and over the telephone.
  • Ability to move throughout the office to coordinate with clinical staff and assist patients.
  • Occasional lifting of office materials or files up to 10–20 pounds.
  • Occasional bending, reaching, or stooping to retrieve supplies or documents.
  • Ability to function in a busy clinical environment with frequent interruptions and multiple patient interactions.

Pay: $20.00 per hour
