About the Role:
The SMS Specialist is critical to Avomo’s Operational Safety Team, serving as the primary administrator for our employee reporting system and the lead developer of safety content. This role focuses on engagement, data insights, and education.
You will be the "face" of the SMS for our frontline teams—managing the intake of safety reports, analyzing data to spot emerging trends, and creating the training materials and communications that keep our workforce informed and safe. This role is ideal for a data-savvy communicator who is passionate about building a "Just Culture" in a high-tech environment.
Key Responsibilities
1. Employee Reporting Program Administration
- Serve as the primary owner and administrator of the Safety & Event Reporting Program (intake tools/apps). Triage and conduct risk assessments on incoming reports daily to ensure they are categorized correctly and assigned for review.
- Ensure that the safety reporting system is working and accessible for all employees and vendors, and escalate issues as necessary.
- Actively manage the "Close the Loop" process—ensuring every employee who submits a report receives a timely acknowledgement and, where appropriate, an update on the outcome to reinforce a positive Reporting Culture.
- Ensure partner reporting SLAs are met and that relevant safety reports are shared with them consistently.
- Maintain the integrity of the safety database, ensuring all fields (location, vehicle ID, event type) are accurate to enable robust reporting.
2. Safety Data Analysis & Trending (SPIs)
- Maintain the Risk Register, monitor the completion of safety-related Corrective & Preventative Actions (CAPA), and collect data for Safety Risk Assessments (SRA).
- Analyze safety data weekly and monthly to identify emerging trends.
- Build and maintain dashboards for Safety Performance Indicators (SPIs).
- Prepare visual reports for leadership that highlight leading and lagging indicators.
- Proactively flag data anomalies and trends to trigger preventative investigations or Safety Risk Assessments (SRAs).
3. Safety Content & Training Development
- Translate complex safety data and investigation findings into digestible content for the frontline. This includes drafting Safety Alerts, "Lessons Learned" one-pagers, and weekly safety stand-up topics.
- Collaborate with the Training Team to design, build, and update SMS training modules. You will act as the Subject Matter Expert (SME) to ensure content aligns with the SMS documentation.
- Develop internal campaigns to promote safety awareness (e.g., Heat Stress awareness week, safety reporting, just culture) and manage the safety recognition program.
4. Safety Assurance & Engagement
- Conduct regular "pulse checks" or surveys to measure the health of the Just Culture and psychological safety within the depots.
- Conduct routine checks on the floor to verify training effectiveness.
- Organize and facilitate Safety Committee meetings, ensuring frontline voices are heard and action items are tracked to closure.
- Support the Operational Safety Team with internal and external audit preparation by organizing documentation, training records, and investigation files for review.
Qualifications
Education & Experience
- Bachelor’s degree in Safety, Communications, Operations, or a related field.
- 2–4 years of direct experience working within a Safety Management System (SMS) environment (e.g., Aviation (Part 5), Rail, Transit, or autonomous technology).
- Proven track record in Employee Engagement: Experience leading safety committees, managing recognition programs, or facilitating "Just Culture" workshops.
- Experience administering safety reporting platforms and managing the "feedback loop" with reporters.
- 2 years of experience in a role requiring data analysis, program administration, or training/content development.
- Strong knowledge of risk management methodologies, safety performance metrics, and compliance with relevant safety regulations.
- Experience working in the technology or transportation sectors and can thrive in extremely faced-paced environments.
Skills & Competencies
- Data Visualization: Strong ability to turn raw data into meaningful charts and graphs (Google Sheets/Excel mastery is required; Looker/Tableau experience is a plus).
- Content Development: Excellent writing skills with the ability to simplify technical safety concepts for a general audience.
- Tech Savvy: Comfortable administering software tools (Google Suite, Reporting Apps, LMS, Ticketing Systems).
- Interpersonal Skills: Approachable and empathetic; able to build trust with frontline operators and technicians to encourage reporting and work cross-functionally with internal and external stakeholders.
- Agility: Willingness to be flexible, jump in wherever needed, and work in a changing and ambiguous environment.
- Process Discipline: Strong organizational skills to manage CAPA tracking, Risk Register updates, and partner reporting deadlines at the same time.
