Responsibilities
- Greet patients and visitors warmly, ensuring a positive first impression and delivering excellent patient service.
- Schedule appointments efficiently using electronic health record (EHR) systems Elation Health.
- Verify insurance coverage and perform insurance verification to facilitate smooth billing processes.
- Collect payments and handle medical collections with accuracy and professionalism.
- Manage patient check-in and check-out procedures, including intake forms and documentation review for accuracy.
- Maintain and update patient records in various EMR (Electronic Medical Records) systems, ensuring compliance with HIPAA regulations.
- Answer multi-line phone systems with professional phone etiquette, directing calls appropriately and taking detailed messages when necessary.
- Assist with medical scheduling, appointment reminders, and follow-up coordination to optimize clinic efficiency.
- Support medical billing processes by understanding CPT coding, ICD-9/10 coding, and Medicare requirements for accurate claim submission.
- Manage filing of medical records, documentation review, and ensure proper organization of office files.
- Facilitate communication between providers and patients regarding care plans, test results, or follow-up instructions.
- Use computer skills extensively to operate office software like Microsoft Office Suite for reports, correspondence, and data entry.
- Ensure compliance with health information management standards by maintaining confidentiality and security of sensitive patient data.
- Assist in other clerical duties such as data entry, faxing, scanning documents, and managing office supplies as needed.
Requirements
- Proven experience as a Medical Receptionist in a medical office administrative role; clinic is highly preferred.
- Familiarity with EMR/EHR system.
- Strong knowledge of medical terminology, ICD coding (ICD-10), CPT coding, and medical billing procedures including Medicare guidelines.
- Excellent organizational skills with attention to detail for documentation review and accurate record keeping.
- Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining professionalism under pressure.
- Exceptional communication skills with proficiency in phone etiquette; bilingual abilities are a plus to serve diverse patient populations.
- Strong computer skills including Microsoft Office applications; experience with multi-line phone systems preferred.
- Knowledge of HIPAA regulations to ensure patient privacy and confidentiality at all times.
- Prior administrative experience within a healthcare setting is highly desirable.
