Position Summary


We are seeking an immediate, dependable Shipping & Order Fulfillment Specialist in San Jose, CA. This long-term, part-time position handles day-to-day dispatch logistics, lab shipment preparations, and end-of-day order invoicing and records management.

Key Responsibilities


Shipping & Order Fulfillment (8:00 AM – 2:00 PM)

• Examine daily production recaps to pinpoint items prepared for freight output.
  
  
• Work directly with the Lab department to secure essential test reports and sample materials for delivery.
  
  
• Draft shipping manifests and collaborate with Shipping Staff and Forklift Operators to gather, check, and stage goods.
  
  
• Inspect all transport details, lot numbers, item counts, and documentation for precision before dispatch.
  
  
• Enter shipping transactions into Syspro and generate necessary paperwork, including Test Reports, Packing Lists, and Manifests.
  
  
• Prepare, package, label, and process lab batch deliveries using FedEx Express or FedEx Ground.
  
  
• Book freight transport, arrange outbound pickup schedules, and scan/archive filled shipping documentation in the S Drive.
  
  

Order Closing, Records & Reporting (3:00 PM – 5:00 PM)

• Log new orders into the CP Transaction Report spreadsheet, maintain order updates, and transfer completed files to the Closed Orders tab.
  
  
• Finalize fulfilled orders inside Syspro once freight is picked up and issue matching invoices.
  
  
• Scan and organize required documentation, including Bills of Lading, within the S Drive.
  
  
• Email invoices and financial reports to the AP/AR Administrator and Finance department.
  
  
• Distribute completed freight documentation to Customer Service for client recordkeeping.
  
  
• Draft shipping manifests and paperwork for upcoming next-day shipments.
  
  
• Run a final audit to verify proper Syspro order closure, complete invoice processing, accurate file archiving, and updated spreadsheet records.
  
  

Qualifications

• Prior experience in shipping, dispatching, or warehouse order fulfillment.
  
  
• Hands-on experience operating Syspro software or similar ERP systems.
  
  
• Proficiency in Excel spreadsheet management and document archiving.
  
  
• Strong attention to detail regarding lot numbers, product counts, and paperwork verification.
  
  
• Solid communication skills for cross-departmental coordination with Lab, Shipping, and Finance teams.
