The Avire Americas team is seeking a detail-oriented and organized Senior Accounts Payable Specialist to join our finance team. The ideal candidate will be responsible for processing invoices, maintaining vendor records, ensuring timely payments, and supporting the month-end close process. This role requires strong analytical skills, accuracy, and the ability to work effectively in a fast-paced environment. This position reports to the US Controller.
What you will do:
- Review, code, and process vendor invoices accurately and timely.
- Prepare and process weekly check runs, ACH payments, and wire transfers.
- Reconcile vendor statements and resolve invoice discrepancies.
- Maintain vendor master files and ensure compliance with company policies.
- Respond to vendor inquiries and build positive working relationships.
- Monitor accounts payable aging and ensure payments are made according to terms.
- Oversee GRNI to make sure we receive invoices from vendors in a timely manner
- Assist with month-end and year-end closing procedures and financial reporting.
- Support audits by providing requested documentation and account reconciliations.
- Identify opportunities to improve AP processes and internal controls.
- Run annual 1099s
- Assist with incoming customer payments
- Assist with entering invoices in customer portals
- Cross train w/finance team to cover leaves
- Other finance tasks/projects as assigned
Qualifications
- Experience: 2–4 years full cycle accounts payable or closely related role.
- Education: Degree in finance, accounting or related field.
- Technical: Advanced Excel skills, accounting software proficiency (Microsoft D365 preferred), prior work with Avalara a plus
- Skills: Exceptional organization, follow-through, and time management; vendor negotiation; problem solving; accuracy with numerical data; understanding of sales and use tax requirement; knowledge of three-way matching and purchase order processing; experience working in a high-volume invoice environment.
- Communication: Clear, professional written and verbal communication; ability to work with internal stakeholders and external vendors.
- Compliance: Ability to handle sensitive information with discretion.
Physical & Work Environment Requirements
- Ability to lift up to ~25 lbs (e.g., supplies), move office items, and perform occasional facilities walk-throughs.
- Prolonged periods of sitting/standing; frequent computer use.
