The Role
We're hiring a contract Executive Assistant to own intensive scheduling for the investment team and keep day-to-day office operations running smoothly. This role is built for someone who is genuinely fluent with modern productivity tools (including AI-powered ones), not just willing to learn them. You'll be the connective tissue between the investment team's calendars, internal systems, and the rhythm of the office.
What you'll do
- Manage complex, frequently shifting calendars across the investment team — internal meetings, external calls, management meetings, travel, and conferences
- Coordinate scheduling logistics across multiple time zones and competing priorities, defending focus time for the team
- Run day-to-day office operations: vendors, supplies, visitors, expenses, light travel coordination
- Maintain contact records and meeting workflows in the firm's CRM
- Handle communications and document flow across Microsoft 365
- Use AI scheduling tools to automate calendar defense, routine scheduling, and follow-ups
- Partner with internal stakeholders on workflow improvements, including light use of AI developer tools where they speed things up
What we're looking for
- 2 years as an EA, scheduler, or operations coordinator — ideally supporting an investment team, founders, or other calendar-intensive principals
- Power-user fluency with Microsoft 365 (Outlook, Teams)
- Hands-on experience with a modern CRM (DealCloud, Salesforce, Affinity, or comparable)
- Experience with AI scheduling tools (Reclaim, Motion, Clockwise, Clara, or similar) — or a clear track record of adopting new productivity tech quickly
- Comfortable with AI-assisted workflows; exposure to tools like Claude, ChatGPT, or AI coding assistants is a strong plus
- Exceptional attention to detail, discretion with confidential information, and calm under shifting priorities
- Strong written communication; able to represent the team professionally with external counterparties
Logistics
- Type: Contract - 1099
- Hours / length: Approx. 40 hrs a week, open ended contract with the potential to convert full-time directly with the client
- Rate: $35–$45/hr DOE
- Location: On-site in Greenwich CT or NYC
