Mission The Office Manager supports staff and leads our administrative operations to ensure the smooth functioning of our office environment.
Essential Functions
- Oversee daily office operations, ensuring a seamless flow of administrative activities and maintaining a professional environment
- Receives and directs visitors, applicants and all agency inquiries courteously and efficiently.
- Manage schedule coordination for leadership team, including calendar management and appointment setting
- Maintains office equipment, orders supply and maintains relationships with suppliers.
- Maintains updates and distributes necessary lists for staff, persons served and outside entities.
- Manage front desk operations, phone etiquette, visitor greeting protocols, answers phones, takes messages and acts as customer service representative as necessary.
- Handle vendor management by negotiating contracts, processing invoices, and maintaining supplier relationships
- Maintain filing systems—both digital and physical—to ensure easy retrieval of documents and compliance with record-keeping standards
- Coordinate event planning for meetings, company functions, and community outreach initiatives
- Compiles and reports information to governmental entities such as DOL and SSA.
- Handles incoming and outgoing mail, directs, and authorizes as needed.
- Processes client payroll checks and acts as liaison to provider, families, outside entities, Avenues accounting department, reconciles accounts and reports all payroll related information appropriately.
- Manages client store and makes bank deposits weekly.
- Perform all other duties as required or assigned.

Position Type and Expected Hours of Work
This is a full-time position (40-hour minimum), and hours of work and days are the scheduled hours as set in your offer letter. Some evenings and weekends may be required. This position is on-site only.
Education and Experience
- 1 year of post-high school education and at least 2 years of experience in a related position.
- Successful completion of all mandatory Illinois Healthcare Workers background checks.
