Job Overview
Our busy and growing medical practice is seeking a compassionate, organized, and detail-oriented Front Desk Manager to lead the front office team. As the first point of contact for patients, the ideal candidate will create a welcoming and professional environment while managing day-to-day administrative functions efficiently. This role is essential to ensuring a smooth patient experience and supporting the overall operations of our clinical team.
Key Responsibilities
- Greet and check in patients in a warm, courteous manner while ensuring timely registration and accurate intake of information.
- Manage multi-line phone systems, schedule appointments, handle referrals, and direct calls to appropriate clinical or administrative staff.
- Coordinate provider calendars and confirm upcoming appointments to minimize scheduling conflicts and maximize efficiency.
- Maintain an organized, HIPAA-compliant front desk area and ensure patient materials and forms are readily available.
- Assist with provider schedule preparation.
- Deliver outstanding customer service by addressing patient inquiries, resolving concerns, and supporting a patient-first culture.
- Perform general administrative duties such as insurance verification, data entry, patient correspondence, and filing.
- Uphold patient confidentiality and ensure compliance with medical office policies and healthcare regulations.
Qualifications
- Strong organizational skills with the ability to multitask and prioritize in a fast-paced clinical environment.
- Experience with medical office phone systems and scheduling software is preferred.
- Knowledge of EclinicalWorks (eCW)
- Bilingual candidates are strongly encouraged to apply to better serve our diverse patient population.
- Excellent interpersonal and communication skills with a commitment to patient care.
- Proficiency with computers and Microsoft Office Suite.
- Previous experience in a medical front desk, receptionist, or administrative role is highly desirable.
