Summary

Responsibilities
Proposal/Contract Management:
· Manage the full proposal and contract lifecycle—from initial RFI/RFQ/RFP and contract draft, amendment and execution to installation, maintenance, renewal and invoicing
· Coordinate with internal departments to ensure contractual obligations are met; conduct regular audits for accuracy and completeness
· Evaluate current and implement improved procedures for proposal and contract intake, processing and tracking
· Identify and address contractual risks early in the procurement and sales processes to protect organizational interests; align contract terms and monitor compliance with internal policies, risk tolerance and client requirements
· Prepare related reports and correspondence for various stakeholders, provide regular updates to management and sales team on proposal/contract status and key metrics
· Maintain organizational documentation, including licenses and related invoices
· Provide detailed templates to accounting for customer invoice execution
Procurement Management:
· Manage the evaluation, negotiation, selection and oversight of vendor relationships and contracts, including recurring reviews/audits
· Conduct sourcing to secure goods and services directly through the supplier with quote/bid process or through cooperative contract, providing the best value
· Develop and manage reporting of sales revenue, profit and cost savings
· Collaborate with sales and technical teams to establish well-defined requirements, scope and criteria for procurement effectiveness
· Track and manage renewals to prevent service disruptions and ensure continuity
· Evaluate and implement sourcing & process improvements; keep up-to-date on new products
Qualifications
Required
· Bachelor’s degree (preferably in supply chain/logistics, legal or business sectors) plus 3 years of hands-on experience managing a variety of contracts and purchasing requirements (preferably technology-related) OR equivalent experience
· Proficient in Microsoft Office Suite (particularly Word, Excel and Outlook) and Adobe Acrobat
· Impeccable documentation skills, attention to detail and accuracy, with demonstrated ability to draft and redline quote/proposal/contract language
· Exceptional organizational skills with the ability to juggle competing priorities in a deadline-driven environment
· Excellent written and verbal communication skills
· Strong initiative, reliability and customer service standards
· Demonstrated negotiation skills
Preferred
· Experience with Zoho (or similar CRM platform) a significant plus
· Working knowledge of and experience in an ERP environment
· Knowledge of and/or exposure to heavy-duty aftermarket industry
· Some technical aptitude, particularly with general software and hardware solutions
· Basic accounting knowledge
