iAutomation, a full-service automation company, developing robotic solutions and offering design, engineering, and integration (DE&I) services, product support, and production services, has an immediate opening for a Quality Coordinator in Franklin, Massachusetts.
The Quality Coordinator supports the administration and maintenance of key elements of the Quality Management System. This role is responsible for coordinating customer compliance requests, maintaining calibration records and schedules, supporting controlled documentation, and tracking Non-Conformance and RMA Repairs activity.
The Quality Coordinator serves as a central point of coordination between internal departments, suppliers, and customers to ensure quality-related information is accurate, organized, timely, and properly documented. This role does not own technical investigations for NCRs, RMAs, or product issues, but is responsible for monitoring workflow, maintaining records, following up with stakeholders, and ensuring information moves efficiently through the required process.
Key Responsibilities
Customer Compliance Requests
- Coordinate customer compliance requests, including RoHS, REACH, Certificates of Compliance, supplier declarations, customer forms, and other quality or regulatory documentation.
- Review customer compliance requirements and identify required internal or supplier documentation.
- Submit supplier compliance requests and follow up with suppliers for pending documents, certificates, or declarations.
- Maintain compliance request status, supporting records, and related documentation in applicable systems and shared locations.
- Coordinate with internal departments, suppliers, and customers to ensure timely completion of open compliance requests.
- Escalate delayed, complex, or high-priority requests when supplier response times or request complexity may impact completion.
- Support compliance requests involving multi-line item assemblies, BOM-related supplier documentation, and multiple supplier responses.
- Submit completed documentation to customers and update applicable systems to close requests.
Calibration Coordination
- Maintain calibration records and schedules for applicable inspection, measuring, and test equipment.
- Coordinate calibration activity using current systems, including NetSuite and MaintainX, until future system consolidation occurs.
- Track upcoming, due, and overdue calibration activity.
- Coordinate with equipment owners, internal users, and external calibration vendors.
- Maintain calibration certificates, equipment records, and related documentation.
- Support follow-up and communication related to out-of-tolerance conditions, as directed by Quality Management.
- Ensure calibration records remain organized, current, and audit ready.
Controlled Documentation
- Support manual control of Quality Management System documentation through SharePoint.
- Maintain controlled procedures, work instructions, forms, templates, logs, and related quality records.
- Coordinate document revisions, approvals, updates, and archival of obsolete documents.
- Ensure controlled documents are properly named, formatted, version-controlled, and accessible to appropriate users.
- Support document owners with updates and routing of changes.
- Maintain documentation in alignment with ISO 9001 expectations and internal quality procedures.
- Assist with document readiness for internal audits, external audits, and customer requests.
Non-Conformance / RMA Repairs Tracking
- Maintain tracking logs for CPARs, RMA Repairs, and related quality records.
- Monitor the flow of information between internal departments, suppliers, and customers.
- Track status, ownership, due dates, required information, disposition status, and closure documentation.
- Follow up with responsible parties to ensure required information is received and documented.
- Escalate overdue or stalled CPARs/RMA Repairs items to Quality Management.
- Support accurate reporting of open items, aging items, recurring issues, and closure status.
- Maintain organized records to support audit readiness, customer communication, and internal visibility.
Requirements and Qualifications
Requires a High school diploma or equivalent, an Associate degree, technical certification, or related quality/business coursework preferred, and 2 years of experience in quality coordination, document control, compliance support, manufacturing administration, customer service, supplier coordination, or a related role preferred.
Required Skills and Qualifications
- Practical understanding of ISO 9001 Quality Management System requirements.
- Experience maintaining quality records, logs, controlled documents, or compliance documentation.
- Strong Microsoft Excel skills, including tracking logs, filtering, sorting, basic formulas, and status reporting.
- Experience using Microsoft Outlook, Teams, and SharePoint for communication, records, and document control.
- Ability to manage controlled documentation, revision control, approvals, and obsolete document records.
- Ability to coordinate compliance requests involving customers, suppliers, internal departments, and supporting documentation.
- Ability to maintain calibration schedules, certificates, and equipment records.
- Ability to track NCR/RMA activity, due dates, ownership, and closure documentation.
- Strong written communication skills for supplier follow-up, customer communication, and internal status updates.
Preferred Qualifications
- Experience in manufacturing, industrial automation, distribution, or regulated quality environment.
- Experience with customer compliance requests such as RoHS, REACH, certificates, declarations, or customer compliance forms.
- Familiarity with NetSuite.
- Familiarity with MaintainX or similar maintenance/calibration tracking software.
- Experience using SharePoint for controlled documentation.
- Prior exposure to calibration coordination or equipment records.
- Prior exposure to NCR, RMA, customer return, or supplier issue tracking.
- Experience supporting ISO 9001 audits or QMS record maintenance.
Hourly Range: $29.00 – $37.00 per hour.
This range reflects the expected base pay for this position in Massachusetts and is based on internal equity and the established job family compensation structure. Actual compensation may vary based on experience, qualifications, and performance.
