We are seeking a detail-oriented and organized Office Assistant to support our administrative team in a busy automotive shop. Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite and Google Workspace for creating reports, spreadsheets, and correspondence
- Schedule appointments, manage calendars, and coordinate meetings
- Provide customer support via phone and email, ensuring excellent phone etiquette and timely responses
- Assist with bookkeeping tasks using QuickBooks or similar software as needed
- Support office management tasks such as supply ordering, maintaining office equipment, and organizing files
- Handle clerical duties including typing, proofreading, and maintaining accurate records
- Support personal assistant functions when required, including travel arrangements or special project assistance
Experience
- 5 years experience
- Familiarity with Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or bookkeeping is advantageous
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent communication skills, both verbal and written; bilingual abilities are a plus
- Proven ability to manage time efficiently and prioritize tasks effectively
- Prior experience in customer service or reception roles such as dental or medical receptionist is beneficial
- Knowledge of office management procedures and clerical best practices is highly desirable
Pay: $18.00 - $25.00 per hour
