The Autism Society of Minnesota (AuSM) is seeking a full-time TEMPORARY RECEPTIONIST to act as the company's first point of contact, managing the front desk by greeting visitors, answering/routing calls, and handling correspondence. Key duties include scheduling appointments, maintaining security protocols, managing office supplies, and performing clerical tasks like filing, scanning, and data entry. This is a temporary contract position due to a leave of absence. Candidates should be prepared for the assignment to end within 12 weeks. This is an at-will opportunity, and the assignment may end at any time without notice. The assignment consists of 40 hours per week at our St. Paul, MN office (Monday-Friday, 9:00 AM – 5:00 PM).

Description
The Temporary Receptionist reports to the Deputy Director and works closely with the Director of Counseling. The Temporary Receptionist utilizes administrative and customer service skills to support the programs and services of the organization. Most visitors to the office are clients of the Counseling Department, but the Temporary Receptionist is a member of the Operations Department and may serve other programs. As the first person visitors interact with, you will play a critical role in managing the public perception of the organization as Minnesota’s first autism resource.
Responsibiltiies
Essential Functions
- Front Desk Management: Greeting clients, visitors, and guests, determining their purpose, and directing them to the appropriate person.
- Communication: Answering, screening, and forwarding incoming phone calls, as well as managing general email inquiries.
- Administrative Support: Performing clerical tasks, including filing, photocopying, faxing, and data entry.
- Scheduling: Managing calendars and booking appointments on behalf of therapists and management team members.
- Mail Correspondence: Receiving, sorting, and distributing daily mail, packages, and deliveries.
- Office Maintenance: Ensuring the reception area is tidy and, in some cases, ordering or organizing office supplies.
- Security: Monitoring visitor access and securing doors and alarms.
- Privacy: Maintain HIPAA-compliant data security by following specified procedures for the storage, access, and destruction of sensitive materials, including financial information and client medical records.

Required Skills and Qualifications
- Prior experience in a front desk, customer service, or administrative role.
- Communication: Exceptional verbal and written communication skills.
- Customer Service: A professional, friendly, and welcoming demeanor.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, and Outlook required) and familiarity with office equipment (computers, printers, phones, and fax machines).
- Organizational Skills: Strong multitasking, time-management, and prioritization abilities.
- High school diploma or equivalent.
Preferred Skills
- Prior experience as an executive assistant, office manager, or similar role.
- An associate’s degree or comparable experience is strongly preferred.
- Ability to multitask and adapt to changes.
- Demonstrated success working independently and collaboratively.
- Proficiency with Apple Computers and web-based applications.
- Experience working with the neurodivergent community.
- Inclusive values and experience working with the neurodivergent community.
- Ability to establish a strong rapport with various stakeholders.
- Experience with web-based phone and meeting systems (Zoom).
