DDA Secretary / Administrative Assistant

Position: DDA Secretary / Administrative Assistant

Pay: $12.00–$15.00 per hour (based on experience and qualifications)

Schedule: Monday–Friday, 11:30 AM–7:30 PM (40 hours per week)

Position Summary

The DDA Secretary is responsible for providing administrative support to ensure the smooth daily operation of the office. This position plays a key role in maintaining compliance, supporting staff and clients, managing documentation, coordinating interviews, and assisting with scheduling. The ideal candidate is organized, detail-oriented, professional, and able to manage multiple tasks in a fast-paced environment.

Essential Job Duties

Administrative Support

Complete all assigned administrative paperwork each week and ensure deadlines are met.

Answer incoming phone calls professionally and assist clients, staff, and community members.

Respond to emails and administrative requests promptly.

Maintain accurate electronic and physical filing systems.

Assist leadership with administrative projects as assigned.

Staff Credential Management

Monitor employee credentials, certifications, licenses, insurance, CPR, and required documentation.

Ensure all staff credentials remain current with no lapses.

Notify staff of upcoming expiration dates and follow through until documentation is received.

Client File Management

Maintain client files within Rethink.

Review client files daily for notifications or compliance alerts (dots) indicating documents or tasks requiring attention.

Ensure client documentation is accurate, complete, and up to date.

Communicate any missing documentation or compliance concerns to leadership.

Scheduling

Make schedule adjustments as needed due to staff availability, client needs, or operational changes.

Communicate schedule updates promptly and accurately.

Hiring & Interview Coordination

Review applications to verify candidates meet minimum qualifications.

Schedule interviews with qualified applicants.

Print resumes and interview materials.

Deliver interview packets to Jean prior to scheduled interviews.

Maintain communication with applicants throughout the hiring process.

Office Maintenance

Maintain a clean, organized, and professional office environment.

Perform light cleaning duties including wiping surfaces, organizing workspaces, emptying trash, restocking supplies, and keeping common areas presentable.

Monitor office supply inventory and notify leadership when supplies need to be ordered.

Additional Responsibilities

Maintain confidentiality of employee and client information.

Demonstrate professionalism with clients, families, staff, and visitors.

Work independently while managing multiple priorities.

Assist with special projects and other administrative duties as assigned by leadership.

Help ensure compliance with company policies and state requirements.

Qualifications

High school diploma or GED preferred.

Previous office or administrative experience preferred.

Strong organizational and multitasking skills.

Excellent communication and customer service skills.

Basic computer proficiency and willingness to learn company software (including Rethink).

Strong attention to detail and ability to maintain confidentiality.

Dependable, punctual, and able to work independently.

Compensation: $12.00–$15.00 per hour, depending on experience, qualifications, and performance.
