General Description

Working under the limited direction of the Human Resources Manager, the HR Assistant provides routine and non-routine administrative support to the Department by compiling, updating, and processing employee information and documentation, administering and assisting in the administration of benefits, responding to requests for information, and maintaining personnel files and records. He/she communicates extensively with others (orally and in writing), handles onboarding and separation activities, and engages with brokers and carriers regarding benefit programs.

Basic Requirements and Education

1. Three years or more of experience demonstrating success in work identical or substantially similar to that described herein.

2. Strong communication and organizational skills.

3. High school diploma, GED, or equivalent.

4. Successfully pass pre-employment background checks.

Additional Qualifications

The Assistant must possess the following knowledge, skills, and abilities at advanced levels, unless otherwise noted.

1. Employee benefit administration, onboarding and offboarding employees including adding and removing employees to benefit plans.

2. Familiarity with benefit plans and features.

3. Intermediate level math skills so as to be able to reconcile benefit invoices and calculate benefit deductions accurately.

Essential Job Duties

The Assistant must be able to perform the following essential job duties with or without reasonable accommodation.

1. Verify, process, and maintain employment-related documentation including but not limited to records relating to benefits, recruiting, onboarding, offboarding, and leaves of absence.

3. Serve as a primary point of contact for employees and address questions and problems timely and accurately.

4. Evaluate information on applications, insurance forms and other records to verify completeness and accuracy, and determine whether applicants and employees are qualified for benefits and employment.

5. Respond to inquiries regarding benefits; resolve or assist in the resolution of questions.

6. Gather and manage personnel records from employees or departments; examine personnel files to provide information for personnel activities and to respond to employment verifications.

7. Greet and assist customers and co-workers, handle messages and inquiries over the telephone and in person, and provide exceptional customer service.

8. Respond accurately and promptly to inquiries; direct customers to appropriate persons.

9. Use computers for various tasks such as database management or word processing.

10. Set up, manage, and maintain paper or electronic records and filing systems for customers, employees and others; record information, update and maintain records and documentation.

11. Print, issue, review, accept and properly process applications and forms.

12. Question applicants and employees to obtain required information.

13. Perform routine data entry and other support activities, including creating, sorting, copying, distributing, and filing documents and records.

14. Maintain appropriate confidentiality related to School business.

15. Complete forms and follow processes in accordance with School procedures and the instructions of the supervisor.

16. Communicate effectively with the HR Manager, supervisors, co-workers and others (internally and externally) in order to provide, exchange, or verify information, answer inquiries, address issues, or resolve and/or report problems.

17. Be punctual and in attendance on a regular basis; work overtime and attend meetings when required. On-site, in-person attendance is required.

18. Perform other duties as assigned.
