Austin Training Advisors | Parker, Colorado (Hybrid)

Austin Training Advisors is a nationally recognized leadership development and training company specializing in customized leadership, communication, customer service, emotional intelligence, and sales training for the commercial HVAC industry.

We’re seeking an Executive Operations Coordinator who enjoys bringing order to complexity, loves improving systems, anticipates needs before they’re asked, and wants to become an indispensable partner to the business.
Yes, you’ll manage calendars, coordinate travel, and schedule coaching sessions.
But you’ll also help improve processes, organize projects, enhance the client experience, support workshop delivery, leverage technology, and help our business operate more efficiently every single month.

What You’ll Do
No two weeks will look exactly alike.
You might…
· Manage an active executive calendar and meeting schedule
· Coordinate leadership coaching sessions and client communications
· Arrange travel, hotels, rental cars, and itineraries
· Prepare workshop materials and participant packets
· Maintain and organize our CRM
· Assist with QuickBooks data entry and basic financial administration
· Track proposals, contracts, and client follow-up
· Help coordinate workshop logistics before, during, and after events
· Occasionally travel to assist with workshop setup and event coordination
· Capture photos and short videos during workshops for LinkedIn and marketing
· Coordinate vendors, printing, shipping, and inventory
· Create and improve checklists, SOPs, and internal systems
· Keep projects moving without being reminded
· Help identify opportunities to improve the customer experience
· Use AI and technology tools to improve efficiency and organization

Position Details
· Approximately 25 hours per week
· Hybrid position based near Parker, Colorado
· Some work performed from our home office
· Occasional local meetings and client visits
· Limited travel to workshops may be available
· Flexible scheduling with agreed-upon core availability
Compensation:
· $28–32 per hour depending on experience
