PURPOSE
Manages day to day operations of an outpatient medical clinic. Works closely with Clinic Manager or Operations Director, management team, physicians, staff, and patients assuring satisfaction and efficiency. Carries out all duties while maintaining compliance and confidentiality and promoting the mission and philosophy of the organization.
Essential Functions
Education and Experience
Required: High school diploma or GED. Two (2) or more years of experience working in the office of a healthcare related facility with extensive and detailed working knowledge of area(s) of responsibility. Supervisory or lead experience.
Preferred: Bachelor’s degree in Healthcare Administration, Business, or related field.
Knowledge, Skills And Abilities
Any Associate Clinic Manager that works in the charge review work queue must attend and complete all work queue training and successfully pass all tests based on the guidelines listed in the Compliance Plan.

PURPOSE

Essential Functions
- Works closely with Clinic Manager/ Operations Director, management team, physicians, staff, and patients assuring satisfaction and efficiency.
- Works to ensure a consistent and accurate approach to assigned job functions with a drive towards operational excellence in all areas of responsibility.
- Acts as an expert resource in areas of responsibility to Clinic Manager /Operations Director, other supervisors, staff and providers.
- Remains closely aligned with Clinic Manager/ Operations Director to ensure strategic initiatives of the organizational and clinic are achieved.
- Maintains outstanding working relationships with operations and administrative management outside of clinic to share best practices and achieve goals in a collaborative and productive manner.
- Supervises the business, technical, or nursing support activities of an outpatient medical clinic.
- Responsible for coaching, motivating, staffing, evaluating, and training employees.
- Responsible for performance evaluations, disciplinary actions, staff training and development, promoting teamwork and fostering a positive work environment.
- Assists Clinic Manager /Operations Director with implementation of clinic-specific customer service, human resource, operational, and financial goals and objectives consistent with strategic plan and goals.
- Assists Clinic Manager /Operations Director with preparation of annual capital and operating clinic budgets and monitoring of expenses.
- Assists Clinic Manager /Operations Director with development or implementation of clinic-specific policies, procedures, and programs and monitors adherence to system-wide policies/standardizations.
- Monitors staffing mix and allocation of resources in order to meet demand for services with available staff and recommends changes as appropriate.
- Addresses patient care or service complaints to ensure customer satisfaction.
- Interacts with and supports staff and physicians and handles issues or requests as appropriate.
- Ensures patient safety, quality care, and customer satisfaction.
- Communicates changes and important information to the staff.
- Works efficiently with all departments to promote teamwork within the organization.
- Attends management meetings regularly, and participates on sub-committees as needed.
- Builds communication and teamwork by holding regularly scheduled staff meetings to communicate clinic and/ or organizational information.
- Delegates effectively to share responsibilities with others.
- Remains knowledgeable concerning policies and procedures, and implements them in their decision making.
- Interviews prospective employees and communicates with Human Resources throughout the hiring process.
- Promotes the organization’s values as demonstrated through personal actions and conduct.
- Role models and communicates organizational goals and values for the staff.
- Measures performance by using established standards and tools to evaluate performance of staff.
- Adheres to all company policies, including but not limited to, OSHA, HIPAA, compliance and Code of Conduct.
- Regular and dependable attendance.
- Follows the core competencies set forth by the Company, which are available for review on ARC SharePoint.
- Works holiday shift(s) as required by Company policy.
- May be responsible for following and ensuring that staff are following work queue workflows consistent with policies of the Compliance Plan.
- Involvement in organizational development through meeting attendance and committee involvement.
- Attends ongoing organizational leadership training to improve leadership and supervisory skills.
- Assumes responsibility for the Clinic operations in the absence of the Clinic Manager or Operations Director as designated.
- Performs other duties as assigned.
Education and Experience

- Knowledge of various medical insurance plans and billing practices.
- Knowledge of procedural and diagnostic coding.
- Proficient PC skills including knowledge of Microsoft Office programs, and familiarity with Windows.
- Strong analytical and problem-solving skills.
- Ability to analyze and interpret financial data/reports.
- Knowledge of human resource fundamentals and underlying laws, i.e., FLSA, ADA, FMLA, etc.
