About the Role:

The Medical Front Office Coordinator plays a critical role in ensuring the smooth and efficient operation of a healthcare facility's front office. This position serves as the first point of contact for patients, managing appointment scheduling, patient check-ins, and communication between patients and medical staff. The coordinator is responsible for maintaining accurate patient records, and coordinating insurance verification processes. Identifying gaps in care by analyzing data and monitoring performance metrics. This role supports the delivery of high-quality patient care and enhances the overall patient experience. This role requires a professional with strong understanding of insurance plans and advance skills in HEDIS and Quality Risk protocols. This is an in-person, full-time position that includes Front Office and Quality care coordination duties Monday to Friday, 8AM to 5PM and one (1) Saturday per month, 9AM to 5PM.

Minimum Qualifications:

  • Previous experience in a medical office or healthcare setting, preferably in a front office or administrative role.
  • Familiarity with medical terminology, insurance processes, and patient confidentiality regulations (e.g., HIPAA).
  • Proficiency in using electronic health record (EHR) systems and Microsoft Office.
  • Strong communication and interpersonal skills to interact effectively with patients and healthcare professionals.

Preferred Qualifications:

  • 2 years as Medical Front desk Receptionist / Patient Care Coordinator with check-in and check-out patient process
  • Experience with eClinicalWorks EHR 
  • Knowledge of insurance verification
  • Care Coordination 
  • Bilingual abilities to support diverse patient populations.
  • Demonstrated ability to manage multiple tasks in a fast-paced healthcare environment.

Responsibilities:

  • Greet and assist patients upon arrival, ensuring a positive and professional first impression.
  • Manage appointment scheduling, cancellations, and rescheduling to optimize provider availability and patient flow.
  • Verify patient insurance information and assist with the collection of co-pays and collect outstanding balances payments
  • Monitor and report on performance metrics related to HEDIS compliance.
  • Maintain accurate and confidential patient records in compliance with healthcare regulations and privacy standards.
  • Coordinate communication between patients, healthcare providers, and administrative staff to facilitate seamless care delivery.
  • Handle patient inquiries via phone, email, or in-person, providing timely and accurate information.
  • Prepare and process quality risk attestations 
  • Perform chart reviews, and upload data to patients charts
  • Require heavy volume of outbound and inbound calls
  • Support the implementation of office policies and procedures to improve operational efficiency.

Skills:

The Medical Front Office Coordinator utilizes strong organizational skills daily to manage patient appointments and maintain accurate records, ensuring efficient office operations. Effective communication skills are essential for interacting with patients, healthcare providers, and insurance companies. Proficiency with eCW EMR systems and payer web portals to process patient information and insurance data. Problem-solving skills are applied when addressing scheduling conflicts, patient concerns, or insurance issues to maintain a smooth workflow. Additionally, attention to detail and adherence to privacy regulations ensure that all patient data is handled responsibly and confidentially.

Salary : $17 - $20
