- Manage complex executive calendar, scheduling priorities, and travel coordination.
- Prepare and manage correspondence, reports, presentations, and briefing materials.
- Support accreditation activities (e.g., COCA), including documentation, timelines, and site visit logistics.
- Coordinate leadership meetings, committees, and executive-level events; prepare agendas and minutes.
- Track deadlines, action items, and follow-up across institutional priorities.
- Serve as primary liaison for internal and external stakeholders on behalf of the Dean.
- Facilitate communication between the Dean and senior leadership, faculty, and partners.
- Exercise independent judgment in managing sensitive, confidential, and high-priority matters.
- Support strategic initiatives, special projects, and institutional priorities led by the Dean.
- Maintain organized records, files, and documentation. (electronic and physical)
- Assist with budget tracking, purchasing, and expense reconciliation for the Dean's office.
- Coordinate major events, board meetings, accreditation visits, and official functions.
- Screen communications, prioritize inquiries, and route or resolve matters as appropriate.
- Support preparation and submission of accreditation and institutional reports. (e.g., COCA/AOA, AACOM)
- Oversee administrative workflows and ensure timely completion of assigned tasks.
- Experience supporting C-suite or senior executives as an Executive Assistant or in a similar role
- Experience managing complex executive calendars and scheduling meetings across multiple stakeholders
- Experience coordinating executive travel logistics, including flights, hotels, and itinerary changes
- Experience organizing meetings end-to-end, including agendas, invites, materials distribution, and follow-ups
- Experience with administrative operations such as contract routing, records management, and expense reporting
- Proficiency with Microsoft 365 (including Outlook), Google Workspace, Teams or Zoom, and document management tools
- Authorized to work in the United States
- Experience supporting board or governance processes, including preparing board materials and managing board portals
- Bachelor's degree or equivalent professional experience
