Summary
The Mobile Crisis Response – Program Assistant provides administrative and operational support to the Mobile Crisis Response Unit. This role ensures efficient coordination of communication, documentation, onboarding, and departmental processes while maintaining compliance with agency standards and community partnerships.
Essential Duties and Responsibilities
- Handle incoming and outgoing communication in a timely manner on behalf of the Mobile Crisis Response Unit.
- Maintain accurate crisis documentation systems and prepare reports for the Director.
- Assist with the onboarding process for new staff, including managing departmental databases, spreadsheets, and files.
- Organize department meetings, secure dates, prepare materials, and record and distribute meeting minutes.
- Review and prepare documents for internal and external meetings, ensuring agendas and notes are distributed promptly.
- Format and create documents, spreadsheets, reports, memos, presentations, and graphics using Microsoft Office.
- Maintain department records and electronic filing systems.
- Manage projects, assist with audits, and maintain compliance documentation.
- Provide excellent customer service to staff, participants, and community partners.
- Coordinate internal and external document delivery and communication across departments.
- Maintain department office supplies, complete vouchers, and process purchase orders by established deadlines.
- Send reminders to staff regarding calendar events, training, and compliance requirements.
- Update community resource binders for linkage and referrals.
- Check MCRU emails, voicemails, and faxes daily to ensure proper routing of documentation for follow-up services.
- Submit required departmental documentation (timesheets, mileage, etc.) per agency protocol.
- Maintain departmental compliance schedules and assist with audits.
- Complete all required trainings, including Federal, IDHS, Agency Core Curriculum, and Mandated Reporter courses.
- Perform all other duties and projects as assigned.

Qualifications
Education and Experience:
- Bachelor's degree preferred.
- Previous administrative assistance experience required.
Knowledge, Skills, and Abilities:
- Strong data entry skills and proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Excellent written and verbal communication; strong interpersonal skills.
- Ability to maintain confidentiality of sensitive information.
- Excellent organizational skills, flexibility, and ability to manage multiple priorities.
- Strong attention to detail and follow-through.
- Valid driver's license and proof of auto insurance required (some travel to other locations).
- Ability to work occasional evenings and weekends as needed.
