Assistant, Masters Housing Bureau
Reports to: Director of Masters Housing
Subordinate Colleagues: None
Part-time with peak and non-peak season hours
35-38 hrs per week during peak season and approximately 25 hrs per week during non-peak season
Overall Objective: The Masters Housing Assistant plays an essential role in the day-to-day administrative operations of the Masters Housing department. This individual is responsible for managing basic administrative tasks, supporting homeowners with their rental listings, receiving payment information, and assisting in the creation and maintenance of social media content for housing listings. The Assistant will occasionally assist the Director with house visits to ensure homeowners receive guidance on listing their properties.
Key Tasks:
Administrative Support:
Answer emails and phone calls appropriately.
File paperwork and ensure all documents are properly organized and accessible.
Check website booking tickets at least three times during your work day and email homeowners/renters accordingly.
Update the main spreadsheet as rental confirmations are completed.
Notify homeowners of payment breakdowns after payments are processed by the Director.
Complete rental confirmations, under the direction of the Director.
Homeowner and Renter Support:
Research housing options for prospective renters.
Assist homeowners in listing their homes on the website, which includes setting up new homeowner profiles, resetting passwords, determining the appropriate price range and processing payment information.
Provide support to homeowners during listing creation and ensure all necessary information is included.
Notify homeowners once payments are received and processed.
Social Media and Marketing:
Maintain and update spreadsheets with current premium housing listings.
Create, schedule, and manage social media posts for featured housing listings across all platforms.
Assist the Director in developing marketing strategies for promoting available housing.
House Visits:
Occasionally assist the Director with the completion of house visits to meet with homeowners.
Assist homeowners with setting appropriate rental prices and providing guidance on how to list their home effectively.
Qualifications:
· Strong organizational and time management skills.
· Excellent written and verbal communication skills.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic spreadsheet management.
· Familiarity with social media platforms (Facebook, Instagram, etc.) and scheduling tools.
· Ability to work independently and as part of a team.
· Experience in real estate, hospitality, or property management is a plus.
