- Scheduling Appointments:
- Coordinate and manage the appointment schedule for the psychiatrist and mental health therapists.
- Communicate with clients to schedule, reschedule, and confirm appointments, ensuring timely and accurate information.
- Handle appointment inquiries via phone, email, or in person, providing exceptional customer service to all clients.
- Insurance Verification and Authorization:
- Verify clients' insurance coverage and benefits prior to their appointments, ensuring accuracy and completeness of information.
- Obtain insurance authorizations for therapy services as required by insurance providers.
- Assist clients in understanding their insurance coverage and potential out-of-pocket expenses.
- Insurance Billing:
- Prepare and submit insurance claims for therapy services provided by the psychiatrist and mental health therapists.
- Monitor and track insurance claims to ensure timely payment and follow up on any denied or pending claims.
- Work collaboratively with insurance companies to resolve billing inquiries and discrepancies.
- Electronic Health Records (EHR) Management:
- Maintain and update clients' electronic health records accurately and securely.
- Ensure that all documentation complies with clinic policies and relevant legal and ethical standards.
- Administrative Support:
- Assist with general administrative tasks, including filing, data entry, and managing office supplies.
- Help with answering phone calls, directing inquiries to the appropriate staff, and providing information to clients as needed.
- Collaborative Teamwork:
- Collaborate effectively with other administrative staff, therapists, and the psychiatrist to support the overall clinic operations.
- Foster a positive and welcoming environment for clients and staff alike.
- High school diploma or equivalent; some college coursework or a related degree is a plus.
- Proven experience in administrative or office support roles, preferably in a healthcare or mental health setting.
- Strong organizational skills and attention to detail, ensuring accurate scheduling and billing procedures.
- Excellent communication and customer service skills, with the ability to empathize and interact professionally with clients.
- Familiarity with insurance verification, authorization, and billing processes.
- Proficiency in using electronic health records (EHR) systems and standard office software (e.g., Microsoft Office).
- Ability to handle sensitive and confidential information with utmost discretion and professionalism.
