We provide culturally responsive, trauma-informed care through therapy, medication management, and psychiatric rehabilitation services for children, adults, and families.
We are seeking a Clinic Operations Manager to ensure day-to-day operational excellence while helping drive agency-wide performance, compliance, quality, and growth. This role oversees administrative workflows, quality assurance, facilities, marketing coordination, and cross-program alignment. The ideal candidate is organized, driven, and excited to support a mission-driven team in a fast-paced behavioral health environment.
Position Summary
The Clinic Operations Supervisor is responsible for executing daily clinic operations, enforcing accountability systems, managing documentation compliance, supporting HR and billing workflows, and leading outreach coordination. This person will supervise administrative and quality assurance staff, manage interdepartmental flow between OMHC and PRP, and serve as the CEOs trusted operations partner. This role will also coordinate clinic marketing and community outreach processes to support growth and client engagement.
Key Responsibilities Operations & Administration
- Oversee daily administrative and operational functions across both clinic locations
- Supervise front desk and administrative staff to ensure client-facing excellence
- Maintain appointment scheduling systems, no-show tracking, and SOPs for clinic workflows
- Track caseloads, and cancellations, and ensure timely client rescheduling
Quality Assurance & Compliance
- Supervise the Quality Assurance Specialist and lead internal documentation oversight
- Ensure compliance with CARF, Medicaid, and internal policies
- Conduct internal audits and enforce documentation timelines for therapists and PRP staff
- Coordinate survey readiness tasks and support site inspections
Human Resources, Technology & Facilities
- Coordinate hiring logistics and onboarding documentation through BambooHR
- Support staff compliance with credentialing, training, and licensure
- Manage office equipment, vendor relationships, and building needs
- Maintain emergency preparedness and safety protocol standards
Staff Accountability & Leadership Coordination
- Monitor and report on staff productivity and documentation performance
- Serve as the day-to-day operational decision-maker in the CEOs absence
- Coordinate interdepartmental team check-ins and support leadership with project execution
Marketing & Outreach Operations
- Coordinate and track community outreach efforts and marketing materials
- Assist with scheduling, logistics, and follow-up for outreach events or open houses
- Monitor social media, website updates, and referral source communications in collaboration with the CEO
- Help maintain promotional materials and ensure clinic branding is consistent
Qualifications
- Bachelors degree required; Healthcare Admin, Business, Public Health, or related field preferred
- 24 years of experience in clinic operations, behavioral health admin, or nonprofit healthcare
- Familiarity with Medicaid billing, CARF, EHR systems, and clinical documentation workflows
- Experience managing teams and coordinating multiple departments
- Strong problem-solving, organizational, and project management skills
- Comfortable using marketing or outreach tools (social media, Canva, CRM platforms a plus)
- Professional, confident communicator with a systems-minded approach
