JOB SUMMARY
The Operations Specialist – Collections provides advanced clerical, administrative, and operational support to departmental Managers. This position assists with coordinating daily operations, troubleshooting operational and service issues, maintaining records, supporting time and attendance, managing supplies and invoices, and communicating with employees, customers, dispatch, and management.
The Senior Operations Specialist must be organized, dependable, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assist with troubleshooting and resolving safety, service, and operational issues.
- Maintain and distribute department-related information.
- Communicate with supervisors, managers, employees, customers, and dispatch regarding operational matters.
- Maintain office and operational supplies and assist with purchasing as needed.
- Support time and attendance processes and daily employee updates.
- Assist with safety incidents, contract labor, scheduling, and work assignments.
- Use Microsoft Office and other software systems to complete daily administrative and operational tasks.
- Assist with processing payments, invoices, purchase orders, and other financial activities.
- Assist with operational projects and other duties as assigned.
- Respond to customer service issues and assist with resolving service concerns.
- Assist with driver and helper scheduling and daily work assignments.
- Monitor cases and open tickets daily and close outstanding tickets as needed.
- Prepare driver lineups for the following business day.
- Order and maintain office, safety, cleaning, building, container, and wash bay supplies.
- Order parts for shop and trucks as needed.
- Enter fuel tickets and maintain accurate fuel records.
- Create purchase orders and process vendor payment requests.
- Reconcile invoices and purchase orders.
- Track compactor repairs, container rentals, and related invoices.
- Maintain required spreadsheets and operational records.
- Process incoming checks according to company procedures.
- Coordinate with Dispatch and Routing to address service issues and delayed routes.
- Assist with routing roll-off hauls for the following business day.
- Check in drivers and verify daily confirmations for accuracy.
- Close tickets for billing and verify information for accuracy.
- Prepare copies of tickets and supporting documentation for customers when required.
- Maintain records of weekend and after-hours driver hours for billing purposes.
TRANSFER STATION DUTIES
- Run and file daily Transfer Station reports.
- Assist with Transfer Station scale tickets when systems are unavailable or experiencing issues.
- Set up customer truck cards as needed.
- Validate and update truck tare weights.
- Coordinate Transfer Station scale repairs and service requests.
- Schedule required quarterly Transfer Station scale certifications.
- Coordinate recycling load tickets.
- Manage and maintain records for random load and hazardous waste material screenings.
- Complete required daily, weekly, and monthly Transfer Station documentation.
MONTHLY DUTIES
- Complete Transfer Station end-of-month reports.
- Complete end-of-month fuel reports.
- Assist with MAS ticket billing.
- Reconcile invoices and purchase orders.
- Prepare and submit required weekend and after-hours billing logs.
- Maintain accurate documentation and records for monthly billing.
QUALIFICATIONS
- High School Diploma or GED from an accredited institution required.
- Minimum of 2 years of relevant work experience required.
- Must be at least 18 years of age.
- Must be legally authorized to work in the country where the position is located.

This position supports daily collection, transportation, transfer station, and operational activities. The employee may work in an office environment as well as interact with drivers, employees, customers, and operational personnel.
