Position OverviewThe Medical Operations Specialist supports the daily business, clinical, and retail functions of the practice by ensuring efficient workflow, accurate financial processes, and high-quality patient and customer experiences. This role serves as a vital link between clinical staff, administrative teams, and leadership—optimizing operations, improving systems, and supporting the practice’s long-term growth across both medical and retail channels.
Key ResponsibilitiesOperational Support
- Streamline day-to-day workflow across clinical, front desk, and administrative teams
- Maintain and enhance operational protocols, checklists, and internal processes
- Support scheduling optimization, patient flow coordination, and appointment efficiencies
- Assist with physician and provider operational needs
Business & Financial Functions
- Support revenue cycle operations, including charge capture accuracy, billing documentation, and reimbursement follow-up
- Assist with payment reconciliation, product ordering oversight, and inventory management
- Prepare operational and financial reports to support leadership decision-making
- Monitor key business metrics (patient volume, product sales, KPIs) and identify trends, challenges, or opportunities
Retail Sales & Support (Strategic Focus)
- Develop a deep understanding of the practice’s retail strategy, product portfolio, and patient purchasing behaviors
- Support long-term retail growth by identifying opportunities to enhance product education, brand positioning, and patient engagement
- Provide insights into retail trends, best-sellers, and seasonal patterns to guide purchasing, merchandising, and inventory decisions
- Partner with leadership and marketing to shape retail promotions, product launches, and educational initiatives
- Contribute to the evolution of the practice’s retail experience—both in-clinic and online—through recommendations that improve layout, inventory planning, digital messaging, and customer communications
- Ensure retail recommendations and initiatives align with clinical priorities, patient outcomes, and business goals
Clinical Documentation & Compliance
- Ensure accurate and complete documentation for clinical services, procedures, and study visits
- Assist with compliance activities such as policy updates, audits, and quality assurance checks
- Maintain strict confidentiality and adhere to HIPAA and all regulatory requirements
Communication & Coordination
- Serve as a liaison between providers, medical assistants, front-office staff, and leadership
- Support cross-department communication to resolve operational or retail-related issues effectively
Administrative & Project Support
- Assist with marketing and practice initiatives such as product launches, promotions, and patient education materials
- Coordinate special projects, research visits, retail refreshes, or operational improvement efforts
- Support technology updates, EHR enhancements, and administrative tasks as needed
Qualifications
Education & Experience
- Bachelor’s degree in Accounting, Finance, Business Management, or a related field required.
- Minimum of 2–4 years of financial analysis or accounting experience, preferably in dermatology, plastic surgery, aesthetics, healthcare, or retail operations.
- Experience in a medical practice, healthcare operations, clinical administration, or medical-related retail sales required
Skills & Competencies
- Strong analytical and critical-thinking skills.
- Excellent organizational skills with the ability to manage multiple tasks and shifting priorities
- Proficiency in EHR systems and office software (Excel, practice management platforms, online retail systems)
- Solid accounting acumen and understanding of financial principles.
- Ability to manage multiple projects, meet deadlines, and work both independently and collaboratively.
- Strong communication skills with the ability to translate data into actionable insights.
