We are seeking a full-time dynamic and highly organized Office Support Specialist to join our team! In this vital role, you will serve as the backbone of our office operations. This role supports front office, billing, and clinical operations, ensuring a smooth workflow and a positive experience for every patient.
Responsibilities
- Ensure each patient feels valued and comfortable from the moment they arrive
- Greet patients, schedule appointments, and manage incoming calls
- Check patients in/out and collect payments
- Maintain excellent phone etiquette by communicating clearly, professionally, and with a friendly tone
- Perform basic hearing aid cleaning and simple troubleshooting-training provided
- Ship and track hearing aid repairs and orders
- Verify insurance and submit/follow up on claims
- Maintain accurate patient records and documentation
- Support daily office organization and workflow
- Complete other administrative and office support duties as assigned
Requirements
- Customer service or medical office experience preferred
- Insurance billing or claims experience preferred
- Strong communication and organizational skills
- Proven office management or administrative experience with strong organizational skills
- Bilingual abilities are a plus to assist diverse client needs and enhance communication
- Strong phone etiquette skills with experience managing multi-line phone systems
- Previous clerical or customer service experience demonstrating professionalism and attention to detail
- Organized, dependable, and team-oriented
