Position Summary
Seeking a dynamic office manager who already knows QuickBooks and has accounting skills & able to oversee all daily administrative operations of the office, ensuring efficiency, organization, and a professional work environment. The role supports owners and staff, manages office procedures, coordinates administrative systems, and serves as a key point of contact for internal teams and external partners.
Key Responsibilities
* Oversee and manages day to day office operations
* Develop and implements office policies and procedures
* Maintains & organizes filing systems (physical and digital)
*Manage office supplies, inventory, and vendor relationships
Special Projects
* Develops and implements employee HEALTH program
* Assist in developing employee training, and/or educational credit opportunities
* Prepare necessary documents to shift from 1099 to W-2/ eventual 401k & similar benefits
* Assist in retained earning goals, and developing employee crisis fund
Financial & Reporting Support
* Assist with budgeting and expense tracking
* Process invoices, purchase orders, and expense reports
* Coordinate payroll documentation and HR records
* Prepare regular reports and presentations for leadership
Staff & Operations Support
* Supervise administrative staff (if applicable)
* Coordinate scheduling, meetings, projects, and travel arrangements
* Support onboarding of new employees
* Ensure compliance with company policies and procedures
Communication & Coordination
* Serve as the primary point of contact for vendors and service providers
* Manage incoming communications (phone, email, mail, packages)
* Maintain a professional and welcoming office environment
* Assist with website, social media, and advertising as needed
* Ability to work without direct supervision, self-starter, self-reliant
* Be able to work with owners, venders, clients, and staff remotely
Qualifications
Education & Experience
* Associate or bachelor's degree in business administration, accounting and/or related field
* 3 years of office administration or management experience
Skills & Competencies
* Strong organizational and multitasking abilities
* Excellent written and verbal communication skills
* High proficiency in QuickBooks, Accounting, & Microsoft Office and management software
* Ability to maintain high levels of discretion and confidentiality
* Servant Hearted/ Kingdom Minded
Work Environment
* Primarily office based
* May require occasional extended hours during peak periods, weekends, or travel, running some errands as needed
