JOB DESCRIPTION
The Office Assistant provides administrative and clerical support to ensure efficient operation of the office. This position assists staff with daily office needs, maintains organizational systems, and helps coordinate company activities and communications. We are seeking a detail-oriented and organized Office Assistant to support daily administrative operations and help ensure an efficient, professional work environment.
DUTIES AND RESPONSIBILITIES
- Greet and assist visitors with professionalism, answer and transfer phone calls
- Receive, sort, and distribute daily mail and packages
- Maintain office supplies inventory and place orders as needed.
- Assist with processing incoming and outgoing mail and shipments. Create shipping labels.
- Help coordinate office maintenance and facility service requests.
- Maintain safety, cleanliness, and organization of the reception area
- Organize company events and parties, including monthly birthday celebrations
- Arrange company car services, support the needs of transferred coworkers/guests, manage company apartment as needed
- Coordinate and ensure timely completion of monthly admin data input
· Coordinate and complete commercial license renewal filings, and assist with annual report filings, ensuring all submissions are accurate and completed on time.
- Perform other related duties as assigned.
QUALIFICATIONS
- Bachelor’s degree or equivalent required
- Proven experience in an administrative or office support role
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and multitasking abilities
- Excellent English communication skills, both written and verbal
- Strong interpersonal skills with a customer service mindset
- Detail-oriented with a high level of accuracy
