Position Summary:
The Surgery Scheduler plays a critical role in coordinating surgical and diagnostic procedures for patients in both office and hospital settings. This position requires strong attention to detail, excellent organizational skills, and outstanding communication and customer service abilities. The scheduler will ensure all appointments are accurately and efficiently scheduled, necessary preparations are completed, and all relevant parties are informed in a timely manner.
General Responsibilities
- Schedule office-based and hospital procedures, including diagnostic tests, using proper codes and provider availability.
- Coordinate with hospitals, vendors, and anesthesia groups to ensure all resources are available for procedures.
- Communicate clearly with patients regarding procedure prep, arrival times, and follow-ups.
- Verify insurance, obtain prior authorizations, and ensure pre-surgical clearances are completed.
- Maintain accurate records in the EMR, including notes, special instructions, and patient consents.
- Maximize provider schedules for efficiency and productivity; update calendars as needed.
- Make confirmation calls, handle cancellations or reschedules, and support front desk scheduling.
- Provide excellent customer service to patients, staff, and providers.
- Maintain clean and organized workspaces and participate in required trainings, meetings, and team activities.
- Assist with onboarding and training of new staff; perform other tasks as assigned.
Qualifications:
- High school diploma or equivalent (associate degree preferred).
- Experience in medical or surgical scheduling strongly preferred.
- Knowledge of medical terminology, EMR systems, and insurance authorization.
- Strong communication, organization, and multitasking skills.
- Attention to detail with ability to maintain confidentiality and follow HIPAA guidelines.
- Professional, courteous, and team-oriented.
Salary: $19.00 to $25.50 per hour DOE
