LEGAL SECRETARY
The Attorney Registration and Disciplinary Commission (ARDC) is seeking an experienced, detail-driven Legal Secretary to provide high-level administrative and case support across attorney registration and discipline functions.
Under the direction of the Illinois Supreme Court, the ARDC registers and supports attorneys, produces and delivers innovative education and outreach programs, and provides restorative services. Through thorough investigations of complaints and fair proceedings, we address allegations of attorney misconduct and unauthorized practice of law. We ensure accountability while also advocating for those harmed by misconduct.
This role requires a strong foundation in legal terminology, court procedures, and regulatory processes, along with the ability to manage sensitive information with discretion. The Legal Secretary plays a critical role in supporting attorneys, facilitating complaint intake, and ensuring accurate handling of attorney records and case materials.
Key Responsibilities
- Draft, format, proofread, and process legal documents, including complaints, pleadings, subpoenas, correspondence, and investigative reports
- Apply strong knowledge of legal terminology, formatting standards, and court procedures to ensure accuracy and compliance
- Maintain organized, accurate, and confidential case and registration records within ARDC systems
- Track case activity, deadlines, and required actions, ensuring timely follow-up and completion
- Serve as a primary point of contact for complainants, respondents, witnesses, and attorneys, handling communications with professionalism and discretion
- Receive, document, and route complaints and inquiries in accordance with ARDC procedures
- Provide administrative support related to attorney registration, including data entry, record maintenance, and responding to routine inquiries
- Coordinate hearings, meetings, and internal discussions, including calendar management and preparation of materials
- Ensure adherence to ARDC procedures and applicable Illinois Supreme Court Rules
- Maintain strict confidentiality and uphold ethical standards in all aspects of work
- Identify inconsistencies, gaps, or risks in processes and escalate as appropriate
Qualifications
Required
- Minimum of an associate’s degree required
- Minimum of 3 years of legal secretary experience supporting attorneys in a litigation, regulatory, or court environment
- Strong working knowledge of legal terminology, court procedures, and ethical standards
- Advanced proficiency in Microsoft Office (Word, Outlook, Excel), including complex document formatting
- Demonstrated ability to manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills
- Proven ability to handle confidential and sensitive information with discretion
Preferred
- Experience with NetDocuments (NetDocs) and LawManager or similar legal case/document management systems
- Experience supporting regulatory, intake, or compliance-related processes
- Familiarity with electronic filing systems and legal workflows
