About the role:
Our Logistics Department (the operational backbone of everything we do) is looking for a Dispatcher - a great opportunity for a highly organized, detail-oriented multitasker with a knack for coordination and grace under pressure. This person will report to the Head of Logistics and will bring air-traffic controller level acumen to the role. An ideal candidate brings prior experience in dispatch for an art shipping company, art handling field experience, including driving box trucks, and high-volume gallery-level project coordination. They will be someone who can manage crew schedules, allocate resources and equipment, and keep jobs moving efficiently across departments, all while prioritizing safety and quality of service. Must be comfortable balancing desk work with warehouse hustle, and equally at ease briefing a crew on the day's job needs as coordinating with Project Managers on the finer points of a project's lifecycle. This person is adept at juggling shifting priorities, communicates clearly, quickly, directly and kindly, and understands how to handle art objects and materials with care. Core Responsibilities & Typical Tasks:
Manage crew schedule, prioritizing efficiency, safety, quality of service, and cross-departmental coordination, resolving any potential conflicts over resource allocation to ensure smooth client-based services
Facilitate or attend meetings regarding the planning, needs, and development of crew scheduling and vehicle dispatch
Schedule blocks of time for jobs, meetings, and other company events, locking in next-day’s schedule by an agreed upon time to facilitate job prep
Brief crew day-to-day on overall job needs, providing scheduling paperwork, setting clear expectations for quality of work and safety, and maintaining contact with crew to monitor progress and notify clients
As needed, support Project Managers with elements of the lifecycle of projects, including workflows, client communications, feasibility/risk assessments, estimates, plans, scheduling, staffing, permitting, budgeting, change orders, job tracking, billing, final reporting, etc
Ensure efficient, timely, and detailed communication and registration information transfer between company departments
Manage the implementation of detailed instructions and strict protocols while also utilizing critical thinking to problem solve, sometimes under pressurized time constraints
Gain solid knowledge of handling differing objects safely and understand the materials that make up the objects and how these materials may react with installation or packing materials
Possess solid understanding of the typical parties and agreements involved in the transportation, handling, and installation of artworks and museum objects
Effectively work as part of a team, contributing to cooperative problem solving, taking the lead and/or appropriately escalating problems to leadership, as needed
Assist with other day-to-day logistics operations, including tasks such as answering phones, dock activity, or driving trucks, as needed
Qualifications:
Minimum of 3 years of experience in museum or arts-related field
Solid understanding of art handling and transportation standards
Ideal to have experience as an Assistant Dispatcher or equivalent in an art shipping organization, museum, or gallery
Possess a valid California driver’s license and a clean driving record at the time of, and for the duration of employment
Complete and pass STA (Security Threat Assessment) application and verification
Solid knowledge of Microsoft Office (Excel, Word, Outlook, Teams), Google Suite, and familiarity with Asana
Exceptional attention to detail, organization, and communication skills – verbal and written
Able to meet tight deadlines and multi-task in a sometimes-hectic environment
Able to work flexible schedule as needed
Physical Demands:
65% Computer desk work, 35% Warehouse work and light lifting as needed (up to 50 lbs.)
