Position Overview
We are looking for a highly organized and detail-oriented Operations Coordinator to join our team. This is a dual-function role supporting both day-to-day operational workflows and accounting/bookkeeping activities. You will work closely with the COO, CFO, AR/AP clerks, and warehouse staff to keep purchasing, fulfillment, and financial records running smoothly.
This role is ideal for someone who thrives in a high-volume, fast-paced environment, is comfortable toggling between operational tasks and numbers, and takes pride in keeping things accurate and on time.
Key Responsibilities
Operations
- Coordinate purchase orders from creation through receipt, ensuring accuracy against vendor invoices and shipment documentation
- Perform 3-way PO matching (PO, receipt, invoice) and flag discrepancies for resolution
- Track open purchase orders and open sales orders; communicate status updates to relevant stakeholders
- Manage inventory of sample products, including tracking, organizing, and replenishing as needed
- Serve as a day-to-day point of contact for both customers and suppliers — handling order inquiries, shipment coordination, and general communication in a professional and timely manner
- Apply knowledge of supplier and customer shipping and routing requirements, including routing guides, carrier compliance, and labeling standards
- Support inbound and outbound logistics coordination, including scheduling, freight documentation, and shipment tracking
- Maintain and update vendor records, item master data, and operational documentation
- Identify process gaps and recommend workflow improvements
Accounting & Bookkeeping Support
- Enter vendor bills, customer invoices, receipts, and payments accurately and timely into NetSuite
- Record daily banking transactions including deposits, withdrawals, transfers, and wire payments
- Perform monthly bank reconciliations for all company accounts, resolving outstanding items and discrepancies
- Perform monthly credit card reconciliations, matching statements to receipts and ensuring proper expense coding
- Maintain organized records of supporting documentation for all transactions entered
- Assist AR and AP clerks with high-volume transaction processing during peak periods
- Flag and escalate unusual items or discrepancies to the CFO for review
Qualifications
Required
- 2 years of experience in CPG operations — on the buying side (retail, merchandising, procurement) or selling side (wholesale, distribution, brand/manufacturer)
- Demonstrated experience with customer-facing and supplier-facing communication in a professional business environment
- Working knowledge of shipping and routing processes, including carrier compliance and routing guide requirements
- 1 years of bookkeeping or accounting support experience (transaction entry, AP/AR, reconciliations, or similar)
- Strong Excel skills (pivot tables, VLOOKUPs, data manipulation)
- Comfortable learning and working within ERP and technology platforms; experience with NetSuite is a plus but not required — training will be provided
- Comfortable using AI tools such as Claude AI as part of daily workflows
- High attention to detail and accuracy under deadline pressure
- Excellent organizational skills with the ability to manage multiple priorities simultaneously
- Clear, professional written and verbal communication
Preferred
- Experience in closeout, wholesale, or discount retail sectors
- Familiarity with inventory costing concepts (average cost, FIFO)
- Experience managing sample or demo product inventory
- Associate's or Bachelor's degree in Business, Supply Chain, Accounting, or related field
